Job description

The National Executive Coordinator plays a key role supporting the Chief Executive Officer and Principal Registrar (CEO / PR). The CEO / PR has the following statutory responsibilities :

  • Assisting the Chief Justice of the FCA in the management of the business and administrative affairs of the Court. The Court currently has 62 judges and registries in seven locations nationally;
  • The provision of "corporate services" as defined in the Federal Court of Australia Act 1976 (Cth) (FCA Act) to the FCA, the FCFCOA and the NNTT;
  • The accountable authority for the purposes of the Public Governance, Performance and Accountability Act 2013 (Cth) for the Entity, and is responsible for the appropriations for the FCA, the FCFCOA and the NNTT; and
  • The Agency Head of the statutory agency for the purposes of the PSA Act which is comprised of the officers and staff who support the FCA, the FCFCOA and the NNTT (including corporate services).

The National Executive Coordinator plays a lead role in the Office of the CEO / PR and more broadly across the Federal Court and the Entity. The National Executive Coordinator is responsible for managing all aspects of the operations of the Office of the CEO / PR, including coordinating and providing high level executive support to the CEO / PR, preparing briefing material and papers for the CEO / PR, being a key liaison point for senior internal and external stakeholders on behalf of the CEO / PR and dealing with sensitive and confidential matters as requested by the CEO / PR and supporting and coordinating programs and reform initiatives across the Court and the Entity. The National Executive Coordinator must possess excellent initiative and a demonstrated ability to build rapport and to promote positive relationships with internal and external stakeholders and ensure the utmost discretion and confidentiality in interactions and handling of matters.

The role is multi-dimensional, requiring someone with agility and highly developed organisational skills, legal, research and analysis skills and the ability to work within statutory and procedural frameworks, together with strong written and interpersonal skills. The person appointed to this position will be someone who anticipates what needs to be done, shows great initiative; is highly motivated, efficient, and able to work within timeframes.

The key duties of the position include

  • Providing high level executive support to the CEO / PR, including key stakeholder liaison, triaging and prioritising of matters.
  • Being the key contact point for the CEO / PR, including coordinating the conduct and management of key issues with relevant internal and external stakeholders on behalf of the CEO / PR.
  • Providing secretariat support for key executive committees, including developing agendas and discussion papers in consultation with the CEO / PR and Director, Principal Registry and National Operations, and recording and managing meeting outcomes.
  • Developing and implementing practice and procedures for the Office of the CEO / PR. This includes developing and implementing a CEO / PR communication framework across the Court and the Entity and supporting template documents and developing, implementing and maintaining effective document management practices for the Office of the CEO / PR.
  • Managing senior staff meetings with the CEO / PR, including coordination of agendas, in consultation with the CEO / PR and Director, Principal Registry and National Operations and managing meeting outcomes.
  • Preparing briefing papers, reports and presentations for the CEO / PR for key internal and external meetings and complex correspondence for Judges, Registrars and staff.
  • Preparing information to be included in key Court and Entity publications, including the Annual Report and Corporate Plan.
  • Coordinating stakeholder engagement on behalf of the CEO / PR, in relation to key communications across the Court and Entity and media enquiries.
  • Supporting the administration of the national judicial induction program, including liaison with newly appointed judges regarding entitlements and managing the series of induction meetings.
  • Providing support to the Director, Principal Registry and National Operations, as requested.

In addition, the National Executive Coordinator supports the CEO / PR with the coordination and delivery of key programs and strategic priorities across the Court and the Entity. This includes :

  • Assisting the CEO / PR with the coordination of programs and strategic priorities managed by the Office of the CEO / PR, including setting up meetings, establishing program templates, maintaining and monitoring action lists and establishing record management systems.
  • Supporting the development and delivery of strategic priorities and initiatives, which will involve undertaking legal research and analysis to inform the development and achievement of strategic priorities and reform initiatives and preparation of relevant briefing material for the CEO / PR. In addition, undertake legal research and analysis to prepare briefing material for the CEO / PR in relation to a broad range of issues relating to the Court and the Entity.
  • Liaise with key internal and external stakeholders regarding the operations of the Court and the Entity.
