Job description

Are you a motivated and passionate individual looking to make a difference?

DEBRA is recruiting for a Membership Event Coordinator to join our friendly, supportive team in our Bracknell, Head Office.

Our new Membership Event Coordinator will join us on a Full Time, Permanent basis, working a contract of 35 hours per week with the possibility of up to 2 days working from home earning a salary of up to £28,000 per annum, depending on experience.

About DEBRA
We are a national charity that supports individuals and families affected by Epidermolysis Bullosa (EB) – a painful genetic skin blistering condition which, in the worst cases, can be fatal.

The Role
As our Membership Event Coordinator, you will coordinate an annual suite of member-focused events – in person and virtually. Use insights and feedback from our members to design and deliver events that meet the needs of our members. Ensure members have multiple opportunities to connect with each other, and with DEBRA UK, in order to provide opportunities for support and to reduce feelings of isolation.

Key Responsibilities

  1. Coordinate the delivery of in-person events for our members – including liaising with venues, third party suppliers, and expert speakers, including some contracting.
  2. Coordinate the delivery of our virtual events for members – responsible for ensuring all details are included in our online meeting platforms, speakers secured, and coordination with our CRM database.
  3. For both in-person and virtual events, ensuring all key event processes are followed (including health & safety checks, risk assessments, internal databases updated, media and photographic consents).
  4. Assist in the development of member communications to promote the events.
  5. Working as part of the member services team to deliver and host the events on the day. These responsibilities will be shared throughout the team, but this person should be comfortable as a key point of contact or host on the day.
  6. Track and report on event management status and expenditure.
  7. Responsible for ensuring all systems are updated with event details and provide statistics to support reporting.
  8. Help to coordinate post-event processes, including communications to demonstrate the impact of the event – emails, website update, news and blog posts - and feedback processes.
  9. Assist the Membership Manager in gathering and analysing member feedback for continuous improvement of member events.
  10. Help the Membership manager plan future years event programmes, with member feedback at the heart.
  11. Work with directorates across the organisation to understand how members can be included in other DEBRA UK events.
Essential Skills & Experience
  1. Experience of event management in a professional context (on and offline).
  2. Technically savvy, and able to work with the full range of Microsoft Office software, online event platforms, project tracking software, CRM databases, and the basics of maintaining webpages.
  3. Demonstratable experience of designing and implementing processes to ensure the efficiency of team projects.
  4. Confidence to host small member events independently.
  5. Some experience of communication planning to a variety of audiences.
  6. Experience of working in the charity or not-for-profit sector would be beneficial.
Person Specification
  1. Highly organised individual with strong time management and problem-solving skills.
  2. Confidence and competence to work with new software as required.
  3. Great communication skills for dealing with individuals over email, on the phone and face-to-face.
  4. Proactive and confident in forging relationships with a range of stakeholders.
  5. Ability to drive and visit locations independently.
  6. Confident in working with third party suppliers and securing contracts.
  7. Ability to work effectively in collaboration with people across directorates.
  8. Ability to work on own initiative as well as within a team environment.
  9. Someone who can demonstrate the DEBRA values of respect, passion, care, inclusivity and committed to making a difference.
Mission, Vision & Values
Our mission is a world where no one suffers with Epidermolysis Bullosa.
