Job description

Meeting & Events Co-ordinator

Monday-Friday (occasional evenings & weekends) | 37.5 hours a week, between 8am-6pm


£12.60 per hour


We are currently recruiting for a driven Meeting & Events Co-ordinator to provide first-class service for the Engine Rooms at Birchwood Park on a full-time basis, contracted to 37.5 hours per week.


The Engine Rooms offers a unique and inviting place to meet, work, dine, and relax with friends. It is the perfect venue to host meetings and events of all occasions, alongside our food hall, which offers an ever-changing menu of freshly made street food, pizza, and salads. We also serve great Starbucks coffee!


We’re now looking for an enthusiastic individual to join our friendly team.


Experience is essential for this role. You should be proficient in MS Office and CRM programs, confident in interacting with clients via phone, email, and in person. The ability to work well under pressure, manage multiple workloads, possess strong attention to detail, and have excellent written and verbal communication skills are crucial. You should also be skilled in building and maintaining strong client relationships.


Key duties include:

  • Maximising revenue from meeting rooms and delegate bookings through effective relationship building, sales conversion, and delivering excellent customer service.
  • Responding promptly to telephone, desk, and email enquiries in line with brand standards and turnaround times.
  • Developing client relationships through knowledgeable enquiry handling and effective team communication.
  • Understanding and exceeding client needs by providing tailored event packages, including upselling F&B and ancillary services.
  • Conducting venue show-rounds and delivering professional customer service to facilitate swift booking conversions.
  • Seeking client feedback after events to facilitate future sales opportunities.
  • Preparing accurate function sheets, coordinating with the operations team, and providing updates to ensure customer satisfaction and encourage repeat business.
  • Delivering exceptional customer service aligned with the ‘Expect More’ philosophy, aiming to exceed expectations at every touchpoint.
  • Covering the reception area when necessary.
  • Performing general administrative duties to support business objectives and assist the Sales & Events Manager.
