Job description

The role of the Medical Secretary is to provide a comprehensive secretarial, administrative, and information service to the Microbiology Department Consultants and support the Microbiology team. The role involves a wide range of duties and requires competence in word processing, keyboard skills, audio-typing, communication, and organization skills. Maintaining confidentiality is essential.

Full training will be provided. Previous medical secretarial experience and knowledge of medical terminology are advantageous.

Key Responsibilities:
  1. Transcribe and produce correspondence for the Microbiology Consultants.
  2. Open and prioritize correspondence on behalf of the Consultants.
  3. Date and stamp all incoming mail, communications, and reports.
  4. Manage and prioritize telephone and personal enquiries, complaints, messages, and information from GPs, Consultants, other medical staff, and external organizations.
  5. Coordinate annual and other leave in cooperation with other secretaries and with management approval.
  6. Liaise with other secretaries to ensure fair distribution of work.
  7. Establish and maintain efficient office and filing systems.
  8. Maintain confidentiality at all times.
  9. Extract data from patient administration systems and relevant software.
  10. Produce confidential letters and correspondence for patients, GPs, and Consultants.
  11. Contact other laboratories as needed.
  12. Maintain the diaries of Consultant Microbiologists.
  13. Arrange meetings, prepare, and circulate agendas and documentation.
  14. Distribute laminated posters and information leaflets for wards.
  15. Circulate ward audit forms and collate information.
  16. Assist in preparing figures for quarterly and annual reports.
