We are looking for a highly organised, detail-oriented, and professional Medical Secretary / Coder to join our dedicated team. This role is essential in supporting our clinical team by managing correspondence, processing referrals, and ensuring accurate coding of patient records.

Main duties of the job
  1. Handling all GP and consultant correspondence, including typing letters and processing referrals via e-RS and Docman.
  2. Managing patient queries, liaising with hospitals, consultants, and other healthcare providers.
  3. Processing insurance and medico-legal reports.
  4. Accurately inputting and maintaining SNOMED codes for diagnoses, procedures, and test results.
  5. Ensuring all incoming documents, including discharge summaries, clinic letters, and test results, are coded correctly into EMIS Web.
  6. Supporting clinicians in audits and data quality improvement projects.
  7. Assisting in maintaining confidential patient records in compliance with GDPR and NHS standards.
  8. Collaborating with the reception and admin team to streamline workflows.
  9. Providing general administrative support to GPs and the practice team.

Experience
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and general IT skills.
  • Ability to prioritise tasks and manage a busy workload.
  • Experience handling confidential and sensitive information in compliance with GDPR.
  • Excellent written and verbal communication skills.
  • Strong attention to detail for accurate data entry and correspondence.
  • Knowledge of medical terminology to accurately process letters and referrals.
  • Experience handling NHS and private referrals (e.g., e-RS).
  • Familiarity with Docman for scanning and filing patient documents.
  • Understanding of clinical coding and correctly filing documents.
  • Experience handling patient queries in a professional and empathetic manner.
  • Liaising with hospitals, consultants, and external healthcare providers.
  • Dealing with urgent and routine requests efficiently.
  • Understanding of NHS procedures, including referrals, medical records, and complaints.
  • Awareness of confidentiality, data protection (GDPR), and safeguarding.
  • Familiarity with medical insurance reports and legal documentation.
  • Experience in customer-facing roles with strong interpersonal skills.
  • Ability to work under pressure in a fast-paced environment.
