Job description

We are looking for an enthusiastic and self-motivated Medical Secretary to join our friendly practice team. The candidate should have experience using Emis (clinical system), a good knowledge of medical terminology, and experience working as a Medical Secretary within the NHS. The candidate must be accurate, possess good communication skills, be a team player, and able to work flexibly in the absence of colleagues. This position requires strong communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. Salary will be based on experience.

Main duties of the job

Key Responsibilities:

  • Provide efficient copy typing and word processing services for GPs and health professionals, including typing letters, reports, patient referrals, and notifications accurately and promptly.
  • Make appointments and bookings using the E-Referral service pathway.
  • Maintain Emis/Docman tasks accurately and securely.
  • Check that all two-week wait referrals are received by hospitals/third parties.
  • Cover for secretarial team members during sickness and leave.
  • Receive and dispatch mail.
  • Use the internal communication portal daily.
  • Handle incoming and outgoing telephone calls, facilitate communication, take messages, and deal with referral queries.

Job responsibilities

Main purpose of job: To provide efficient and confidential secretarial and administrative support to GPs and the clinical team, including handling referrals, typing correspondence, liaising with patients and external organizations, audio typing, and ensuring timely and accurate documentation.

Responsible to: This essential role involves providing comprehensive secretarial and administrative support, including sending referrals via eRS and email, formatting letters and reports, dealing with hospital, clinical, patient, and practice queries, following up GPs' requests, and maintaining the computer-based clinic system securely. Assist with statistics gathering and maintain an accurate referrals database.

Main tasks:

  1. Provide secretarial support, including audio and copy typing of medical letters, reports, referrals, and correspondence.
  2. Process referrals (ERS and paper), ensuring completeness and deadlines.
  3. Manage GP task lists and workflow related to referrals and patient letters.
  4. Act as a point of contact for hospitals and healthcare providers regarding referrals and patient care.
  5. Handle patient queries professionally and sensitively.
  6. Maintain patient confidentiality and adhere to data protection regulations.
  7. Monitor and manage Emis Referral tasks, Docman Referral tasks, Accumail, and Referral Email.
  8. Support the admin team with general office duties.
  9. Participate in meetings and training as required.
  10. Ensure all work is completed timely and accurately to support patient care.
  11. Ensure all two-week wait referrals are received by hospitals/third parties.
  12. Receive and dispatch mail.
  13. Provide cover for secretarial team members during sickness and leave.
Person Specification
Experience
  • Experience working in a GP practice.
  • Previous experience with Emis (clinical system) and Lexacom (audio typist software).
  • Proficiency in office software applications, including word processing and spreadsheets.
  • Strong organizational skills with effective prioritization.
  • Excellent verbal and written communication skills.
  • Attention to detail for accurate documentation.
