Job description

We are looking for a motivated, pro-active Medical Secretaryto join our team on a full time basis. You will be responsible to the SeniorSecretary for the provision of an efficient, secretarial service to theConsultants and supporting medical staff, delivered on a scheduled rota basisfrom the office.

Also responsible for the typing of Clinic dictations viaT-Pro system as well as take and type up clinical governance/MDT minutes. Tochase investigations, liaise with internal/external clinical partners to ensureeffective patient care.

This role is 37.5 hours per week, Monday Friday.

Main duties of the job
  • To ensure strict confidentiality at all times. Comply withrequirements of Data Protection Act, Access to Health Records Act andlegislation issued in relation to confidential data.
  • To prioritise and manage own busy workload in order toprovide an excellent comprehensive and efficient secretarial service to theConsultants and supporting staff, as appropriate.
  • To work as part of a team in ensuring the efficient runningof the Department both from the office and from home.
  • To ensure close and effective communication with colleagues,patients and their relatives along with external agencies, ensuring electronicdistribution lists are up-to-date.
  • To undertake the typing of letters/reports within agreedtime scales for the Consultants and support medical staff which involvesproducing a high number of detailed letters and reports which require a highlevel of accuracy and an understanding of medical terminology.
  • To prepare agendas, take, type up Monthly ClinicalGovernance Minutes.
  • To provide cover in the office where necessary fordepartmental colleagues in times of annual leave/sickness and to undertakeassociated duties.
  • To receive phone calls and take appropriate action ensuringeffective communication is used and timescales are met.
  • To ensure relevant clinics are cancelled in a timely mannerby following approved Clinic Cancellation Procedures for periods of Consultantleave/study time or in emergencies due to clinician sickness.

Qualifications
  • GCSE English (or equivalent), Grade C/level 4 or above
  • RSA Word Processing / OCR Word Processing qualification or equivalent
  • ECDL, Clait or equivalent
Experience
  • Recent experience working as a medical secretary including medical audio transcription
  • Recent experience of Microsoft word processing and spreadsheet packages
  • Experience of waiting list management
  • Previous secretarial experience
  • Previous experience in the organisation of minutes, including minute taking and the typing of minutes and agenda
  • Knowledge of the Clinical Dictation systems for typing letters
  • Knowledge of clinic management
  • Experience of using patient administration system (EPR)/Meditech/System one
  • Recent experience using a data base
Knowledge
  • Knowledge of the Data Protection Act
