Job description

To provide a comprehensive and highly efficient secretarial service to GPs and teams within the practice.

To communicate effectively with patients / carers regarding appointment and treatment related matters.

Liaise with hospitals and community services.

Main duties of the job

Main duties for the role will be to provide secretarial support within the practice, referrals, electronic workflow documents, and monitoring of 2WW.

Our multi-disciplinary team includes GPs, Clinical Pharmacists, Practice Nurses, Health Care Assistants, & others. We are a training practice supporting doctors, medical students, and student pharmacists. Our extensive team of receptionists, secretaries, and administrators ensures a friendly and supportive environment. We are looking for a new secretary who is hardworking and passionate about high-quality patient care.

Job responsibilities

The position is for 20 hours per week.

The post-holder will provide comprehensive and efficient administration and secretarial support to GPs and teams within the practice.

Effective communication with patients / carers regarding appointment and treatment matters is essential.

Working within our secretarial team, the post-holder must also independently manage and prioritize workload, collaborating closely with the team and being a team player.

Job Responsibilities include:

  • Providing secretarial support within the practice.
  • Typing letters, patient referrals, minutes, etc., accurately and with quality.
  • Attending meetings and taking minutes.
  • Managing incoming and outgoing telephone calls, facilitating timely communications, taking messages, and handling queries.
  • Assisting with gathering statistics and information as required.
  • Monitoring daily tasks and completing them promptly.
  • Typing correspondence or documents for clinicians and managers.
  • Providing cover for team members during sickness or leave.
  • Liaising with external agencies, hospitals, and service providers, and providing reports/results when appropriate.
  • Coordinating with other services and practices, taking appropriate action.
  • Handling telephone queries from patients, GPs, consultants, hospitals, and departmental matters.
  • Processing referrals for patients attending the practice.
  • Overseeing workflow and distributing tasks as necessary. Coding letters appropriately.
  • Monitoring 2WW referrals.
Person Specification
Experience
  • Previous medical secretarial experience is essential.
  • Experience using Emis Web Platform.
  • Experience using Docman 10 Platform.
  • IT literate with Microsoft Office skills.
  • Excellent oral and written communication skills.
  • Understanding and adherence to confidentiality.
  • Ability to work independently and as part of a multidisciplinary team.
  • Pleasant, articulate, and able to work under pressure.
  • Ability to prioritize tasks to meet deadlines.
  • Awareness of equal opportunities issues.

  • Knowledge of medical terminology.
