Medical Records Specialist
Outpatient Northampton Clinic
Full Time
Schedule:
Monday-Friday, 9a-5p
Starting Pay: $18.50

Position Summary:
The Medical Records Specialist will be responsible for a variety of duties necessary to run the Records Department efficiently, including being cross-trained in all office positions such as Client Service Specialist. He/She will serve as a liaison for information and communication between clients and the medical record needs.

Position Responsibilities:

  • Gather all interoffice requests and distribute appropriately, i.e., nurses and back staff lounge.
  • Send medical records as requested per signed ServiceNet release states.
  • Answer all electronic records requests regarding medical records.
  • Send all Attendance Verification letters.
  • Scan and upload Rogers Affidavits & Treatment plans into client charts and track through log.
  • Send and log Termination letters sent by the Director of Med clinic.
  • Maintain master client log by completing assigned tasks and tracking the number of requests from various sources; correct and communicate problems according to established procedures.
  • Answer and log all phone messages for the Medical Records department.
  • Retrieve medical records by following procedures; document reasons records cannot be released, i.e., non-compliance list.
  • Start Supervisory approval messages to appropriate supervisors.
  • Accept and forward all Subpoena/Court Documents to supervisors.
  • Maintain continuity of work operations by documenting and communicating actions, irregularities, and continuing needs.
  • Maintain patient confidence by keeping patient records information confidential.

Qualifications:

  • A high school diploma or GED certificate.
  • Medical records experience.
  • Knowledge of medical terminology a plus.
  • Basic computer skills.
  • Attention to detail and quality focus.
  • Communication skills.
