Job description

The post holder will be required to support the CAMHS team members by providing an effective range of medical records duties.


The post holder will work as part of an established administrative team and will have excellent communication, interpersonal and organisational skills with a flexible approach to work and enjoy working as part of a team.


Key Responsibilities:
  1. Collate and maintain waiting lists having special regard to degree of urgency as per consultant/Operational co-ordinator directions.
  2. Booking of appointments and generating related correspondence.
  3. Referral Process: Monitor and record referrals daily in accordance to the Trust procedure.
  4. Waiting list management via the timely posting of appointment opt-ins under the guidance of the Operational co-ordinator and regular monitoring and reporting of waiting times.
  5. Assist with the introduction of the PARIS electronic recording keeping system to the department and undertake duties related to this.
  6. General telephone duties including enquiries from parents, GPs, other professionals; agencies and departments.
  7. Opening and closing of patient cases; organisation and maintenance of electronic case files on PARIS including the uploading of correspondence sequentially.
  8. Ensure case history records are tracked to and from medical records including the office systems and management of paper case note storage and retrieval.
  9. Photocopying and faxing duties.
  10. Liaison with other hospital departments and agencies.
  11. Work electronically with email and other computer systems and databases.
  12. Deal with general enquiries from families who may at times be distressed or emotional on the phone.
  13. Liaison with and an understanding of the local community HYM teams.
  14. To attend meetings, training and briefing sessions including annual health and safety updates appropriate to the role and feedback to colleagues.
  15. Other duties relevant to the grade that may be requested from time to time.
  16. To work flexibly including availability to work evenings and weekends.
