Permanent Post 37 hours per week. Weekly hours to be agreed within our opening hours.

Medical Receptionist required for a friendly busy GP training practice. Must have good IT and communication skills.

Main duties of the job

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

To provide efficient, helpful, informative and supportive reception and administration services to patients and members of the primary health care team.

About us

The Waterloo Medical centre is well established in the community and has a patient population of over 12000 patients.

Our team includes 6 GP Partners, 3 Practice Nurses, 1 Healthcare Assistant, 1 Nursing Associate, 2 Pharmacists, 1 Pharmacy Technician, 1 Physio Therapist, 1 Care-coordinator and 12 Admin/Reception staff. We are a busy friendly forward thinking practice.

Waterloo Medical Centre is a training practice that has 3 GP Registrars.

Job responsibilities

JOB TITLE: EXPERIENCEDRECEPTIONIST

HOURS: Full or Part TimeConsidered

Main Duties

  • Ensure aneffective and efficient reception service is provided to patients and anyother visitors to the Practice
  • Deal with allgeneral enquiries, explain procedures and make new and follow-upappointments. Arrange home visits ensuringcareful recording of all relevant details for the doctor. Deal with patient bookings and enquiriesin a friendly and courteous manner both face to face and over thetelephone.
  • Explain Practice arrangements andformal requirements to new patients and those seeking temporary cover andensure procedures are completed. Ensure that all new patients areregistered onto the computer system promptly and accurately.
  • Scanningaccurate scanning and attaching of correspondence to patient records.
  • Ensure accurateand timely recording of Data with attention to the use of SnomedCodes.
  • Actionprescriptions in an accurate and timely manner including repeat/controlledand acute prescriptions as per practice prescribing protocols. Audit and remove prescriptions notcollected by patients.
  • Results - toaccurately process results and allocate them to the appropriate clinicianfor review and action.
  • Act onclinicians requests for further information/patient contact informationetc. (including computerised practice notes), ensuring completion of allassociated paperwork.

Other Duties:-

  • Open premises atthe start of the day when first to arrive, de-activate alarm and make allnecessary preparations to receive patients.
  • When last toleave at the end of the day, ensure that the building is totally secured,internal lights are off, and the alarm activated.
  • Where necessary advise patients ofrelevant charges for private (non-General Medical Services) services,accept payment and issue receipts for same.
  • Liaise with FCMSre out of hours cover/issues.
  • DNACPRHousekeeping of DNACPR information held on ADASTRA.
  • Send and receiveitems to/from PCSE in a timely fashion / medical records to be returned toPCSE as promptly as possible.
  • Process incomingand outgoing mail according to practice protocols.
  • Complete otherDaily/ Weekly and Monthly core tasks to support to smooth running of thereception area

Other Tasks

  • Ensure waiting room is tidy throughoutthe day.
  • Ensure building security have thoroughknowledge of doors/windows/alarm.
  • Coveringcolleagues holiday and sick cover as required.
  • Any other tasks allocated by managers

Usingpersonal security systems within the workplace according to practice guidelines

Makingeffective use of training to update knowledge and skills

Usingappropriate infection control procedures, maintaining work areas in a tidy and safeway and free from hazards

Activelyreporting of health and safety hazards and infection hazards immediately whenrecognised

Keepingown work areas and general / patient areas generally clean, assisting in themaintenance of general standards of cleanliness consistent with the scope ofthe job holders role

Undertakingperiodic infection control training (minimum annually)
