Medical Receptionist - 32 hours, permanent

Hours: 32 hours per week

Location: Sunderland, Tyne and Wear

Main duties of the job

We are currently seeking to recruit a permanent Medical Receptionist to provide a comprehensive reception service. Hours of work will vary between 8.00am and 6.00pm Monday and Tuesday. The post holders may be required to work flexibly across all SGPA practices as required. As well as greeting patients and carrying out general reception duties, you will also be expected to process prescriptions and fully utilise EMISWeb and other IT systems.

Applicants must have experience of working in an NHS setting and have a working knowledge of medical reception duties.

To provide a comprehensive reception service to achieve an efficient and effective service in providing the best possible care to patients.

  1. Greet people in a professional and courteous manner
  2. Pass on relevant information and answer queries
  3. Assist people to access the services they need
  4. Undertake a variety of reception duties to assist in the smooth running of the Practice

Duties and Responsibilities in line with Practice policies and procedures:

  1. Answer the telephone as a priority
  2. Take messages accurately and pass on in a timely manner
  3. Deal with general enquiries and complaints
  4. Forward any queries relating to prescriptions to the Pharmacy Technicians
  5. Give out pathology results
  6. Register new patients and temporary residents and make paper records
  7. Process deducted patients and send records to Primary Care Services Agency
  8. Greet and direct patients and visitors
  9. Respond to the needs of GPs and Nurses to enable efficient clinics
  10. Input and extract information from the Practice computer system
  11. Update the clinical system with information e.g., smoking, ethnicity
  12. Action change of address notifications
  13. Any other filing, record keeping, and distribution of documents as appropriate
  14. Effectively liaise with Practice, Primary Care Organisations, patients, and other external organisations to assist promptly with the resolution and administration of queries
  15. Fully utilise EMISWeb and other IT systems
  16. Monitor and check tasks and workflows
  17. Communicate effectively with the reception team to ensure policies and procedures are kept up to date
  18. Keep directories and databases up to date to ensure an efficient workflow
  19. Demonstrate duties to new or less experienced staff
  20. Resolve job-related issues, including patient documentation and help resolve minor problems
  21. Photocopying
  22. Dealing with mail, internal and external
  23. Attend meetings when required
  24. Work safely at all times in accordance with legislation and Practice policies and procedures
  25. Be flexible both in availability and in covering for colleagues absent due to annual leave or sickness
  26. Any other reasonable duties requested by the Practice Manager or GP

In addition, the post holder will show respect and courtesy to patients and colleagues, maintain confidentiality of patient and Practice information at all times, and may be required to work occasional extra hours.
