Glan-Yr-Afon Surgery are seeking to recruit a reliable and professional part time receptionist to work within our friendly and organised practice. We are a busy practice with7,000+ patients.

Computer literacy skills are essential, preferably with previous experience in primary care.

The successful candidate will be responsible for providing a welcoming and efficient front of house service to our patients, ensuring the smooth running of reception duties. The role also involves administrative tasks to support the practice team. The ideal candidate must be well organised, with excellent communication skills to deal with people in a polite and sensitive manner and have the ability to work as part of a team.

Main duties of the job
  • Greeting and assisting patients in person and over the phone
  • Managing patient appointments, queries, and updating medical records
  • Processing prescription requests and providing relevant information to patients

The Practice is situated in Tredegar, Gwent and is part of Aneurin Bevan University Health Board. The team comprises of 3 GP Partners, a long term locum, 1 Paramedic Practitioner, 1 Nurse Practitioner, 1 Practice Nurse, 1 Healthcare Assistant and is supported by a highly effective and friendly admin and reception team. We are proud to be a training practice with GP registrars and year 5 medical students on placement from Cardiff University. We moved in Jan 24 to brand new purpose build premises boasting state of the art facilities with many services on site, promoting collaborative working

  • Appointment Management:Schedule, amend, and cancel patient appointments efficiently using the practice's computer system.

  • Patient Records:Maintain and update electronic patient records, ensuring accuracy and confidentiality in compliance with GDPR and practice protocols.

  • Telephone Handling:Manage incoming calls, responding to patient queries, and directing calls to the relevant clinical or administrative staff.

  • Prescription Requests:Process patient prescription requests in line with practice procedures.

  • Administrative Support:Assist with clerical duties, including scanning, filing, photocopying, and general data entry.

  • Communication:Act as a liaison between patients, doctors, nurses, and other members of the practice team to ensure smooth communication and service delivery.

  • Confidentiality:Ensure that patient information is handled with discretion and sensitivity in line with NHS and practice confidentiality policies.

  • Flexibility:Provide cover for colleagues during annual or sickness leave, as and when required.

Required Skills and Qualifications:
  • Education:Minimum GCSE level or equivalent.

  • Experience:Prior experience in a medical or general practice setting is preferred, though not essential.

  • IT Skills:Competent in using computer systems, particularly Word, Microsoft Office. Experience with practice management systems, EMIS, Docman, GPTR, WCCG, CWS is advantageous, although training will be provided.

  • Communication:Strong verbal and written communication skills, with the ability to interact empathetically and professionally with patients and colleagues.

  • Organisation:Excellent time management, multitasking abilities, and attention to detail.

  • Team Player:Ability to work as part of a team as well as independently, with a proactive and flexible approach.
