Job description

An excellent opportunity has arisen within our reception team to support the smooth running of the practice.

You will be working within an established team, supporting the clinical staff and our patients on a daily basis.

We are looking for a hardworking, motivated, and enthusiastic individual to join our friendly team.

Main duties of the job

We are currently recruiting a part-time Medical Receptionist to join our Practice. The successful candidate will be patient-focused, a good team player, and flexible in their approach, working for a busy medical centre.

We are looking for part-time support between 8am and 6.30pm weekdays. Additional hours may be needed when other receptionists are on leave or when the practice needs require it.

You will provide general assistance to the practice team and project a positive and friendly image to patients and visitors, either in person or on the telephone. You will receive, assist, and direct patients to the appropriate service or healthcare professional in a courteous, efficient, and effective manner. You will undertake various administrative duties and facilitate effective communication between patients, the primary health team, and other healthcare agencies.

Brynhyfryd Medical Centre is a GP Training Practice. We are a purpose-built health centre with community-based services held at our premises.

You will be working with a team of GPs, Physician Associates, Pharmacists, and administrative support staff.

The Practice aims to provide a high level of primary healthcare to the local community, emphasizing family care and empowering patients through good medical advice to prevent illness and improve health standards. We promote healthier lifestyles and work in partnership with patients, families, communities, and service providers to involve them in decision-making and care provision.

Job responsibilities

Ensure an effective and efficient reception service is provided.

Book patients onto the clinical system, including those using the Self Check-in system.

Handle general inquiries, explain procedures, and make routine and follow-up appointments.

Communicate test results accurately.

Use your judgment and communication skills to ensure that patients requiring urgent consultation are seen logically and without disruption.

Be aware of all current and upcoming clinics to facilitate appropriate appointment scheduling.

Explain practice arrangements and formal requirements to new patients and temporary visitors, ensuring procedures are completed.

Manage a busy switchboard, answering calls within 6 rings, diverting calls, and taking messages with accuracy and promptness. Maintain politeness and helpfulness at all times. Refer unacceptable patient behavior to your line manager.

Provide a professional handover to colleagues before leaving your shift.

Record home visit requests on the EMIS system with all relevant details.

Open and close the premises if necessary, ensuring security, turning off internal lights, and activating the alarm following protocol.

Experience
  • Previous receptionist or similar experience.
  • Experience working with the public in a customer-facing role.
  • Experience handling inquiries.
  • Experience in the NHS/Public Sector.
Qualifications
  • Good literacy and numeracy skills.
  • Good general education, including GCSEs.
Knowledge
  • Knowledge of Microsoft Office applications.
  • Ability to prioritize workload.
