Main duties of the job

Provide a warm and professional welcome to all patients, visitors, and healthcare professionals

Answer telephone and face-to-face enquiries promptly and efficiently

Book, amend and cancel patient appointments using our clinical system (e.g., EMIS)

Manage repeat prescription requests, patient registrations, and other routine administrative tasks

Handle confidential information in line with data protection and practice policies

Work collaboratively with the wider practice team to support smooth day-to-day operations

Job responsibilities

Reception Duties:

Greet patients and visitors in a professional, courteous, and efficient manner

Manage incoming telephone calls, including booking appointments, taking messages, and signposting patients appropriately using the practices triage system

Support patients to book appointments through eConsult

Book, amend, and cancel appointments using clinical systems (e.g., EMIS)

Register new patients and process changes to patient records

Administrative Tasks:

Process repeat prescription requests accurately and in a timely manner

Handle incoming and outgoing mail and email correspondence

File and scan clinical documents into patient records

Support the wider admin team with tasks such as referrals, recalls, and data entry

Maintain the confidentiality of patient information at all times

Teamwork & Communication:

Liaise with clinical staff and external services as needed

Communicate effectively with patients from a wide range of backgrounds, sometimes in distressing or sensitive situations

Attend team meetings and contribute to practice improvements

Participate in ongoing training and development
