Job Summary

Applicants need to demonstrate a professional, friendly and helpful face to face and telephone manner. You must be good under pressure and have good computer and organisational skills. NHS experience is preferred but full training will be provided to the right candidate. You must be able to work on own initiative as well as within a team and it is desirable to be flexible to cover staff sickness and holidays where possible. Experience of reception/administration work and SystmOne would be a great advantage.

Main duties of the job

You will be part of a dynamic and forward thinking team providing support in a Primary Health Care setting. You will be providing support to all patients and demonstrating a professional disposition at all times.

Receiving calls and assisting with direct face to face patient enquiries are predominant parts of this role. To be focussed on ensuring that, the appropriate service is maintained within the healthcare environment. A professional and courteous approach at all times needs to be effective.

About Us

We are a friendly, supportive, and innovative training Practice in inner city Bradford. Kensington is based over 4 sites, so even with a main base you would have the opportunity to work across the sites for some diversity at times. We have a patient list size of approximately 23,500 delivering high quality care to our diverse group of patients. We are actively involved in our Primary Care Network.

We have a dedicated team of 6 GP Partners, GP Registrar and Foundation Year Doctor, ANP, ACP, Clinical Pharmacists, Pharmacy Technicians, Practice Nurses, HCAs, Receptionists and Administration teams.

Job responsibilities
  • Dealing with queries regarding services offered by the practice.
  • Making telephone calls as requested.
  • Arranging appointments for medicals and other non-routine appointments.
  • Taking messages and recording them accurately in the patient record.
  • Greeting and directing patients and checking their appointments.
  • Handing out letters, completed forms, specimen bottles etc.
  • Accepting requests for completion of forms, e.g. private health insurance claim forms etc. (check if a fee payable and take payment if appropriate).
  • Accepting requests for medical examinations ie taxi/adoption, add to waiting list with correct contact details.
  • Collecting fees for chargeable items.
  • Generating computerised repeat prescriptions.
  • Accepting deliveries and logging appropriately.
  • Making routine and urgent appointments.
  • Dealing with problems and queries from doctors, other staff, attached staff, patients and other agencies.
  • Using the computer to enter patient information.
  • Opening and securing the building.
  • Ensuring patient signatures and ID on relevant forms.
  • Updating notices and leaflets in the waiting room.
  • Registering new patients, temporary residents and those requiring immediately necessary treatment.
  • Sorting signed prescriptions.
  • Disposing and recording of prescriptions failed to be collected.
  • As part of the reception team, you would be expected to demonstrate flexibility and you may be asked to work in other areas/sites.
  • Explain practice arrangements and formal requirements to new patients and those seeking temporary cover, ensuring procedures are completed correctly.
  • Advise patients of relevant charges for private services, accept payment and issue receipts if needed, keeping records of such payments up to date.
  • Enter requests for home visits in system with relevant information.
  • Action requests for ambulance transportation and enter details on the computer.
  • Action requests for interpreters, book as appropriate and enter details on the computer.
  • Act as an interpreter if needed.
  • Act as a chaperone if needed.
  • Recognise the importance of effective communication and strive to communicate effectively with other team members, patients and carers and to recognise peoples needs for alternative methods of communication and respond accordingly. This includes the use of the NHS email system as an efficient means of communication.
  • Assist in maintaining a tidy and safe work area free from hazards and report anything considered to be a health risk or hazard to the reception team leader or site manager.
  • During your working day you will often be in possession of confidential/personal information. You must not disclose or discuss such information outside your place of work and information should only be shared on a need to know basis with approved bodies.
  • You should only access/read medical records if you are dealing with said patient.
  • Failure to observe confidentiality will result in disciplinary action.
  • Under the provision of the Data Protection Act and GDPR, it is the responsibility of each member of staff to ensure that all computerised personal information relating to patients and other members of staff which he/she has access in the course of employment, is regarded as strictly confidential. Failure to adhere to this instruction will be regarded as serious misconduct and lead to disciplinary action.
