Job description

Waterfoot Medical Practice are looking to recruit a parttime medical receptionist to join our friendly and progressive practice.

Our ideal applicant is enthusiastic, hard-working, and mustbe able to demonstrate excellent communication skills. You will possess goodorganisational skills and be able to multi-task in a very busy environment. Abackground in Primary Care or NHS administration is desirable though notessential as training and support will be available for the right candidate.

Main duties of the job

The role of Receptionist is fundamental to the smoothrunning of the practice and has a unique role in building relationships withthe patients.

The post holder will be the first point of contact forpatients at the practice. The role is varied and includes administrationduties, face to face work with the public and dealing with telephone enquiries.

The position is part time at 30 hours per week and is to beworked flexibly during the surgery opening hours of Monday to Friday, 7am to 6:30pm.

Membership of NHS Pension Scheme is automatic.

Job responsibilities

The post holder will form part of the multidisciplinary teamproviding high quality care for patients of the practice. The role ofReceptionist is fundamental to the smooth running of the practice and has aunique role in building relationships with the patients.

The post holder will be the first point of contact forpatients at the practice. The role is varied and includes administrationduties, face to face work with the public and dealing with telephone enquiries.The post holder will need to have a clear understanding of customer care and beable to work as part of a team as well as being able to use their initiativeand prioritise their workload. The post holder will be expected to have aflexible approach to working hours, covering various shift patterns over 5days, Monday to Friday.

Main Duties and Responsibilities

The post holder will be required to:

Receive, assist and direct patients in accessing theappropriate service or healthcare professional in a courteous, efficient andeffective way whilst maintaining patient confidentiality.

Ensure an effective and efficient reception service isprovided to patients and any other visitors to the practice.

Initiate contact with and respond to requests from patients,other team members and associated healthcare agencies and providers.

Process appointment requests for today and futureappointments from patients by telephone and in person.

Undertake Care Navigation signposting patients to the mostappropriate Health Care Professional.

Receive incoming and make telephone calls as required.Divert calls and take messages, ensuring accuracy of detail and promptappropriate delivery.

Action acute and repeat prescription requests and ensurethat they are ready for collection by the patient within 48 hours (two workingdays), either on the computer or manually. Ensuring accuracy of detail and thatthe patient is informed of prescription policy.

Hand completed prescriptions to the patient checking namesand address.

Maintain the computer clinical system in an accurate andsecure manner.

Keep the reception area, noticeboards and leaflet dispenserstidy and free from obstructions and clutter.

General use of computers for appointments, prescriptions,registering of patients, sending letters to hospital or patients, addingvaccinations, dealing with practice notes and any other input relating tomedical records.

To ensure that any medical forms brought into the practiceare dealt with efficiently according to practice policy.

To deal with any emergency in reception or on the telephoneaccording to practice policy.

To maintain housekeeping standards in reception and waitingarea.

To efficiently deal with messages from GPs, nurses and staffoutside the practice such as pharmacies and social services

To answer the phone and communicate messages effectively

To input and receive data from computer and paper systems.

Provide cover for members of the reception team duringperiods of sickness and annual leave.

Qualifications
  • A good standard of education Computer Literate
  • Recognised typing qualification or equivalent (e.g., RSA) ECDL or equivalent AMSPAR Medical Receptionist
