Overview

Neurosciences are looking for an enthusiastic, flexible and highly motivated MDT administrative officer to join our team. This is a full-time position of 37.5 hours a week, based at Leeds General Infirmary. The successful candidate will be part of a team providing administrative and clerical support to MDTs within the Neurosciences CSU. Duties will include attending MDT meetings, MDT data entry, typing of correspondence, organising meetings, dealing with telephone and email enquiries. The ability to work in a busy office environment is essential. The ideal candidate should be organised and able to prioritise their own workload. Candidates should have excellent communication skills and the ability to work as part of a team. We will also offer support through a structured period of induction, and opportunities for professional development in a supportive environment.

2. Job purpose/summary

To provide administrative and clerical support to MDT services within the Neurosciences CSU. The post holder will be responsible for providing a full and effective administrative and clerical support service to MDTs within the Neurosciences CSU. They will also be responsible for inputting data and producing reports as required. The postholder will be expected to arrange and plan their own work on a day-to-day basis within the overall demands and priorities of the department.

Principal duties & areas of responsibility
  • MDT meetings: provide administrative support, organise meetings, ensure x-rays and notes are available, check access arrangements, book rooms and refreshments, organise travel, administer expense forms, liaise with members regarding dates, send notices, agendas and minutes.
  • Attend MDT meetings as required; welcome participants, organise refreshments, take minutes and circulate after approval.
  • Data collection: collect relevant information for patients and audits; use the Patient Administration System and other support systems; ensure data capture; enter information onto PPM (clinical information system).
  • Liaise with MDT Co-ordinator to ensure 100% data accuracy and data capture; conduct data audits and system development where guided; contribute to information distribution across the Trust and other organisations.
  • Admin support: provide full clerical support, organise and file documents, manage post, photocopying, faxing, email distribution; type letters and documents; support secretarial teams with typing/proofreading clinical correspondence; handle communications and enquiries; maintain mail-outs and labels; monitor stock levels and order stationery; record departmental expenditure and petty cash; coordinate staff leave and attendance at mandatory training.
