Overview

We have a new and exciting opportunity for a Masterplan Admin Coordinator to join our Programme team delivering large-scale workplace and facilities projects.

In this role, you'll support the planning, coordination, and administration of projects, helping ensure smooth operations, manage documentation, and engage with multiple stakeholders in a fast-paced, collaborative environment. This role sits within a small, high-performing team delivering projects valued at around £200 million each. It is ideal for someone with experience in Workplace, Facilities Management, infrastructure operations, or a strong PA/EA background within FM. Support Project Managers with planning, scheduling, and delivery of workplace and facilities projects.

Responsibilities
  • Maintain and update project documentation, trackers, and reports.
  • Prepare presentations and PowerPoint decks consolidating delivery team content.
  • Coordinate meetings, take minutes, and follow up on action items.
  • Assist with procurement, purchase orders, and liaising with suppliers.
  • Monitor project progress, resolve issues, and report on milestones and risks.
  • Support audits, inspections, and compliance with Health & Safety requirements.
  • Facilitate clear communication between project teams, stakeholders, and contractors.
  • Manage document control, versioning, and handover documentation.
  • Contribute to workshops and meetings with proactive solutions and insight.
Requirements / Qualifications
  • Excellent organisational skills, a proactive approach, and the ability to adapt quickly in a fast-paced environment with multiple priorities and moving parts.
  • Experience in project support, administration, or Workplace/Facilities Management.
  • Strong coordination experience, with the ability to manage multiple tasks and stakeholders effectively.
  • Strong proficiency with Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Familiarity with project management tools (e.g., MS Project, Smartsheet) is desirable.
  • Excellent organisational, time management, and multitasking skills.
  • Clear and confident communicator, both written and verbal.
  • Practical, proactive, and solutions-focused with a collaborative mindset.
  • Able to adapt quickly in a fast environment and manage competing priorities.
