Job title: Marketing & PR Administrator – London Transport Museum.

Location: Cranbourn Street, Leicester Square, London & Hybrid.

Salary: £27,670 - £29,750. Permanent – Grade 1bb.

Hybrid working: within this role enables a balance of 50 per cent of time split between the office and home over a 4-week period. Hybrid working arrangements can evolve subject to business requirements.

Overview Of Project/role

The Marketing and PR Administrator will be responsible for providing full administrative support to the Marketing & PR team. Projects that the post holder will be involved with include financial administration, media relations support, co-ordinating the distribution of marketing materials, image and listings management, helping to distribute information to stakeholders and partner organisations, and ongoing administrative tasks.

Key Accountabilities

  • The post holder will help deliver various administrative tasks to help support the Museum’s Marketing and PR teams to deliver on their various income and charitable targets. These tasks will include:
  • Oversee Marketing and PR teams' financial processes including raising purchase orders, invoices, registering new suppliers and vendors, and contract administration including signing, scanning and filing and keeping up to date when contracts are due for renewal
  • Assist the team with press event activity and exhibition private views. Specific duties will include collating and managing guest lists, badging, guest and stakeholder interface, event logistics, liaison with journalists and television film crews, event follow up and other event administration as required
  • Manage team files on Sharepoint and Sharefile, ensuring documents are saved according to the team's file structure and are dated and labelled correctly
  • Provide internal and external meeting support including meeting management, arranging room bookings, receive visitors, answer phone and email queries and ad hoc duties as required
  • Provide support for the implementation of market research projects including liaison with research agencies, updating of research ‘prompt’ materials, internal liaison to update on research interventions at the Museum
  • Maintain the marketing and PR photographic library to ensure effective filing and retrieval of images for the media and marketing purposes. This includes implementing correct Museum image processing procedures to ensure all photography meets appropriate GDPR standards. This is also likely to include helping to manage Museum photo shoots
  • Log media cuttings to enable evaluation of the Museum’s press coverage
  • Review and update Museum website listings with the most up to date event or attraction information
  • Oversee the Museum's poster circuit plan, keeping a close eye on up-coming creative and print deadlines and monitoring poster site locations
  • Work closely with Visitor Experience and Operation team to ensure advertising voucher activity is up to date with the latest offers and promotions
  • Attend tourism industry and cultural forums, including London Transport Museum networking events and launches. Help liaise with sponsors and funders through the provision of information

Essential

Skills, Knowledge & Experience

  • Excellent administrative, planning and organisational skills with a strong attention to detail
  • Good working knowledge of MS Office products including Word, Excel, PowerPoint and Outlook
  • Good technical abilities to use platforms such as Microsoft Teams
  • Good database management skills and working knowledge of systems such as Cision
  • Proven experience with finance management including tracking expenditure and raising and processing purchase orders
  • Good numeracy skills for monitoring and processing team finances
  • Good written and verbal communication skills and the ability to present themselves well in a range of situations
  • Attention to detail and proofreading must be a high standard in order to ensure our Museum marketing programme is presented accurately and appropriately
  • Good stakeholder management. This role will have numerous interactions with Museum colleagues as well as external contacts including suppliers and journalists
  • Ability to work under pressure, prioritise and manage time effectively to meet deadlines
  • A flexible approach. Able to adapt to a range of situations
  • Enthusiastic, confident, and self-motivated

Desirable

  • Knowledge of visitor attraction marketing and PR
  • An interest in Transport for London’s services and the history of public transport in London or demonstrably prepared to acquire knowledge in this
  • Good understanding of the design, print and production process, including working closely with our in-house Design team to help produce eye-catching marketing collateral

Other Information

This role is office hours but there may be a requirement to work very occasional evenings and weekends. You will receive time off in lieu for this.
