THE JOB

Providing exceptional support to the sales team, boosting productivity and driving sales. As part of the central Sales Support Function, you'll ensure fast, consistent handling of enquiries to improve customer satisfaction, accelerate order processing, and support revenue growth. Your main accountabilities will be to:

  • Provide Support and first-class assistance to the Machinery Sales Team across our entire trading area.
  • Ensure prompt/accurate daily processing of purchase orders, sales orders, sales & purchase invoices/credits, accruals, - all paperwork relating to the sales & purchase process from start to finish.
  • Utilise both the internal doc store and storage channels, ensure our website is up to date and all documents handled and stored in an appropriate manner.
  • Process all UK and international goods in and goods out paperwork, adhering to company and VAT/legal, & Auditing policies.
  • Work with Government bodies including Defra, and shipping agents to support the readiness machinery, handling PHYTO & BOL certificates, ensuring storage of all necessary documents and records.
  • Administer depot transfer process for new and used machinery movements.
  • Liaise with suppliers, finance companies, hauliers to process external paperwork.
  • Work with internal teams (purchase ledger & credit control) to resolve customer and supplier queries.
  • Work with external suppliers to understand their schemes and processes, before handling them to match our business needs. Ensuring a sound understanding of supplier terms, conditions and trading agreements.
  • Liaise with aftersales teams to provide best possible customer journey within machinery business.
  • Handle phone calls and queries from customers, suppliers & sales team.
  • Assist the sales team with any admin tasks, completing RAV/DVLA documentation, HPI/VAT checks and follow up investigations.
  • Support the new role of Technology Specialist and help them integrate into the machinery business, assisting with documentation, liaising with suppliers and providing additional support as and when required.
  • Adhere to Company and Group policies and procedures, including but not limited to those relating to Safety, Health and Environmental or IT.

SKILLS, EXPERIENCE AND QUALITIES REQUIRED

  • Microsoft Windows.
  • Written skills - proven ability to use clear, concise language.
  • Excellent interpersonal and communication skills, including the ability to consult, negotiate and liaise with suppliers & customers.
  • Confident/Assertive - Excellent attitude to make things happen, self-starter to handle admin tasks in the most efficiently.
  • Team Player or ability to work on their own - Ability to assess priorities and manage competing deadlines both independently and as a member of a team.
  • Analytical Person.
  • Adaptable/Flexible.
  • Growth Mindset.
  • Experience in other internal systems - Ibcos, Microsoft D365, D365 - CRM, Power BI and Culverdocs.
  • Experience in Agricultural Industry.
  • Holds a full UK driving licence.
