Job description

Position: Lower School Administrative Assistant

The Baldwin School is seeking a full-time Lower School Administrative Assistant to provide administrative support to both the Head and Assistant Head of the Lower School and is responsible for the organization and efficient operation of the Lower School Office. Successful candidates will have an understanding of and appreciation for girls' education.

Responsibilities:

  • Provide outstanding customer service, in person, on the phone, and in all written communications, to reinforce the welcoming and supportive environment of the Lower School.
  • Handle incoming phone calls and welcome visitors with professionalism and warmth.
  • Interact with students in a kind and welcoming manner.
  • Execute school security policies to maintain a safe environment.
  • Proactively initiate and complete all tasks with precision and in a timely manner.
  • Maintain daily attendance records and student dismissal plans, and follow up on unexplained absences.
  • Monitor inventory and order supplies for the Lower School Office, Faculty Room, and classrooms.
  • Prepare and maintain student records and files.
  • Organize and maintain the Lower School Head's appointment calendar.
  • Prepare, review, and post written and electronic communications including correspondence to families and faculty/staff and web postings.
  • Plan and support interviews, meetings and School events such as Academic Evening, parent conferences, class trips, and faculty meetings.
  • Organize and execute all details of high-impact Lower School events, Grandparents' & Special Friends Day and the Grade 5 Moving Up Ceremony.
  • Oversee the Lower School budget, including managing monthly credit card statements.
  • Support the functions offices/departments of the School, as needed.
  • Other duties and responsibilities as assigned by the Head and Assistant Head of Lower School.

The position involves frequent interactions with parents, teachers, students and other administrative staff. A candidate must have the ability to handle confidential information with discretion and diplomacy, and be able to communicate effectively and tactfully in written and verbal correspondence. The ideal candidate will understand and support the School's mission and policies, and participate in the life of the School. A sense of humor and appreciation for the excitement of school life is ideal.

Required Qualifications Include:

  • A Bachelor's degree is preferable, with 5 or more years of administrative experience
  • A candidate should possess excellent technological skills, with proficiency in Google Suite and other software and online resources.
  • Excellent organizational skills are needed along with exceptional communication and interpersonal skills, flexibility, attention to detail and the ability to present oneself in a warm, yet professional manner.
  • A candidate must be capable of fostering professional and courteous relationships with students, faculty, staff, administration, parents, and visitors.
  • The ideal candidate will have demonstrated team related skills, experience in an academic setting, and a desire to work in a collegial atmosphere.

Preferred Qualifications Include:

  • Administrative experience in a school setting.
