Job description

Logistics Manager - Utilita Arena, Birmingham | Full-Time / Permanent

£39,294 per annum - Plus excellent benefits including healthcare, wellbeing support, 23 days' annual leave plus bank holidays, life assurance, meals on duty, and more.

ROLE PURPOSE:

The overall purpose of the role of a Logistics Manager is to lead and coordinate the end-to-end logistics operation across Utilita Arena Birmingham and BP Pulse Live, ensuring the right products, stock and equipment are available in the right place, at the right time and in the right quantity. The role will provide dedicated ownership of stock management, ordering, deliveries, storage, transfers and event replenishment, strengthening controls while supporting commercial performance, operational readiness and an excellent guest experience.

KEY RESPONSIBILITIES:
Stock Management & Control
  • Own stock management across both arenas, maintaining accurate stock levels and ensuring availability is aligned to event demand.
  • Set and review appropriate stock holding and par levels, balancing product availability with the need to reduce excess and at-risk stock.
  • Lead stock counts, reconciliation and variance investigation, identifying trends and implementing corrective action.
  • Manage stock rotation, expiry dates, waste, breakages and inter-venue transfers to protect margin and reduce unnecessary loss.
  • Maintain clear controls and audit trails for stock movements, returns, write-offs and adjustments.
Ordering & Supply
  • Own ordering across both arenas, using attendance, event type, demographic, forecast spend per head and historic trading data to inform requirements.
  • Tailor orders to individual event profiles, reducing speculative ordering, unnecessary stock holding and working capital tied up in inventory.
  • Coordinate supplier deliveries, shortages, substitutions and event-specific requirements, escalating risks early.
  • Work closely with Retail, Premium and Culinary teams to ensure product requirements are understood and ordered in line with the event plan.
Event Logistics & Readiness
  • Develop event-by-event logistics and replenishment plans across both arenas.
  • Ensure Retail, Premium and relevant back-of-house areas are appropriately stocked and operationally ready ahead of doors opening.
  • Plan and coordinate live-event replenishment, responding to sales performance and changes in demand throughout the event.
  • Coordinate stock, equipment and consumables between storage areas, outlets and venues.
  • Lead post-event stock returns, consolidation and reconciliation, capturing learning for future events.
Commercial Performance
  • Use stock and sales information to improve gross profit, reduce waste and positively impact overall contribution.
  • Identify slow-moving, excess or at-risk stock and work with operational teams to sell through or redistribute it.
  • Improve product availability and minimise lost sales caused by stock-outs or ineffective replenishment.
  • Provide insight into ordering patterns, stock usage and variances to support forecasting and future event planning.
Team Leadership
  • Lead the Logistics teams across both arenas
  • Set clear responsibilities, rotas, priorities and standards for the logistics team.
  • Coach and develop team members in stock control, safe handling, operational standards and efficient ways of working.
  • Build resilience through cross-training and consistent processes across both venues
Controls, Compliance & Safety
  • Ensure storage areas are secure, organised and compliant, with appropriate controls over access to stock.
  • Maintain robust receiving and delivery-checking processes, ensuring discrepancies are identified and resolved.
  • Ensure Logistics activity complies with food safety, health & safety, manual handling and relevant company policies.
  • Maintain accurate documentation and support internal and external audit requirements.
Planning & Collaboration
  • Report directly to the Deputy General Manager and work collaboratively with the Heads of Retail and Premium, operational managers, Culinary and Business Systems.
  • Translate event forecasts and commercial plans into practical stock and logistics requirements.
  • Take ownership of stock and logistics activity historically absorbed within Event Lead and senior operational roles, allowing those teams to focus more time on front-of-house leadership, guest experience and commercial opportunities.
  • Work alongside the Business Systems Advisor, who owns EPOS/till systems, frictionless technology, digital signage and data analytics.
  • Review event performance and drive continuous improvement in ordering, stock control, replenishment and logistics processes.
PERSON SPECIFICATION:
Experience & Knowledge
  • Experience in logistics, stock control, warehousing, supply chain or a comparable operational environment.
  • Experience managing stock and ordering within a high-volume, multi-site hospitality, retail, events or venue environment is desirable.
  • Strong understanding of stock accuracy, rotation, reconciliation, waste control and inventory management.
  • Experience leading and developing teams and delivering through others.
  • Commercial awareness and an understanding of how stock, availability, waste and working capital impact profitability.
Skills & Behaviours
  • Highly organised, with the ability to plan across multiple events, venues and competing priorities.
  • Strong numerical and analytical skills, with confidence using data to make decisions and challenge assumptions.
  • Proactive and solutions focused, with the ability to identify risk and act before it impacts event delivery.
  • Strong communicator who can build effective relationships across Retail, Premium, Culinary, suppliers and venue stakeholders.
