Job Description

Job Title: Logistics Coordinator/Laboratory Operations Coordinator

Brief Role Description:

The Laboratory Operations Coordinator will be responsible for supporting both the Laboratory Managers with the efficient and effective operation of the logistics of the Ortho Surgical Skills Centre (OSSC) facility. The main functions of the role will be scheduling, and logistics of kit inbound and outbound and assisting with the day to day running of the lab.

Hours per Week: Full Time. Given the nature of the role some weekend & evening work will be required.

Location: Head Office – this role is 100% office based.

Key responsibilities:

  • Precise scheduling and logistics for receiving and shipping of lab kits.
  • Assembly and packing of kits.
  • Preparing and setting up cadaveric labs under the guidance of the Designated Individual (DI).
  • Washing of lab kits and decontamination certificate .
  • Liaising with US/UK customs to ensure delivery of cadavers.
  • Inventory management, ordering of PPE and lab equipment.
  • Support marketing team with events set up.
  • Liaise closely with suppliers for maintenance of equipment.
  • Attending labs to ensure smooth running of cadaveric workshops.
  • Customer interaction throughout cadaveric workshops.
  • Manage preventative maintenance schedule for all lab equipment.
  • Maintain compliance with quality management system and workflow procedures.
  • Proper documentation handling – Scanning, Filing, Digital attachments.
  • Liaising with the Lab Managers on ongoing projects and where support is required.
  • Support the Operations and Project Manager with the effective running of OCG’s 3PL (Third Party Logistics) service
  • Contributing to ensure daily operations are completed to the highest standard as well as in accordance with the QMS & QAPs.
  • Actively contribute to continuous improvement initiatives.

Essential:

  • Project management, logistics and scheduling expertise.
  • Dealing with UK/US Customs.
  • Ability to communicate in a highly effective manner and work both independently and as part of a team on assignments. Must be IT literate and efficient in an administrative environment. They must have the ability to work on their own initiative, prioritising and organising workload. Problem solving skills and a great telephone manner are also vital to this role.
  • Meticulous attention to detail and accuracy in work.
  • Computer literacy – able to utilise a range of Microsoft Office applications and other appropriate company systems when required (including MS Word, Outlook, Excel).
  • High level of written and verbal communication skills.
  • Proactive approach and ability to work independently and as part of a small but dynamic team.
  • Highly organised and able to prioritise own workload.
  • High standard of spelling and grammar.
  • Full clean driving license and willingness to drive company van.
  • This position requires a good level of physical fitness, as manual handling of heavy goods is a routine part of the job.
  • Flexibility - must be able to deal with different levels of workload.
  • Good team player.

Highly Desirable:

  • Previous experience working in a fast paced and dynamic environment within the healthcare or medical devices sectors would be .
  • Previous experience of working within the constraints of the HTA (Human Tissue Authority)
  • Previous experience in a similar role in the medical device industry.
  • Office Environment experience working in a professional office environment.
  • Proven excellent communication skills.
  • A levels or higher (or equivalent).
  • Experience in dealing with purchase orders and stock would be advantageous.
  • Ability to work to multiple deadlines and complete several tasks in parallel.
  • Polite and helpful manner and ability to interact positively and professionally across all levels internally and externally.
