Logistics Coordinator

East Grinstead | Full-time, Permanent | £30,000 per annum | On-site position

Role Profile

The role is responsible for the coordination of dispatching and receiving all finished goods, spare parts, and purchased parts to and from the UK facility. This includes managing customer orders to ensure timely delivery across our territory using the most cost-effective methods.

The responsibilities include working safely and efficiently in the warehouse, dispatching orders, handling commercial invoicing, certificates of conformity, and managing duty-related activities. The role also provides backup support for warehouse duties, including picking and packing.

Role Responsibilities

  1. Dispatching all finished goods and spare parts against customer orders;
  2. Processing daily customer deliveries using the most cost-effective freight forwarder;
  3. Using M3 ERP system and Pro Doc for logistics administration;
  4. Answering customer inquiries via telephone;
  5. Emailing customers with tracking numbers;
  6. Building relationships with freight forwarders;
  7. Reviewing freight companies to find cost-effective options with good service levels;
  8. Ensuring all shipment documentation is correct (e.g., Commercial Invoice, Certificate of Conformity);
  9. Adhering to C99 regulations to avoid HMRC fines;
  10. Assisting with warehouse duties such as picking, packing, and stock booking;
  11. Managing customs duties by checking VAT & Duty invoices for correct rates;
  12. Reviewing re-claim opportunities for exports outside the EU, including backdated opportunities.

Personal Specifications

  • Degree in Logistics, Supply Chain, or Procurement;
  • 1 year experience in a similar role (beneficial);
  • Knowledge of M3 ERP Systems (beneficial);
  • Clear communication skills to liaise effectively with internal and external contacts.
