Forth Engineering Ltd in Flimby is seeking a Level 3 Business Administrator Apprentice to join the team for an immediate start. You will support commercial admin duties across purchasing, ISO quality and environmental systems, and general office tasks at our head office.

Based on site, you will report to the Head of Administration and develop strong organisation, communication and customer service skills while working with departments across the business.

Forth Engineering Ltd based in Flimby are looking to recruit a Level 3 Business Administrator Apprentice to join their team for an immediate start!

The Role

The role of the Commercial Admin Apprentice is to provide customer service support to all visitors, customers, suppliers and staff of Forth Engineering. You will provide commercial admin support across all departments and areas of the business including purchasing, ISO quality and environmental systems, customer feedback, accounts, projects and trade, and many other duties that require a high degree of attention to detail. You will work closely with the department leads to communicate information whilst based on site at the head office. You will have a good eye for detail, be thorough and meticulous, and ensure that all tasks are completed to deadlines. Reporting to the Head of Administration.

Key Responsibilities
Daily tasks
  • Answering all incoming phone calls in a timely and professional manner, transferring calls and taking accurate messages.
  • Using Outlook to type out messages and emailing them to the relevant staff.
  • Ensuring messages about call outs for the trade counter are delivered to trade either by phone, email or by delivering the message in person.
  • Meeting and greeting all visitors to the premises.
  • Making refreshments for visitors and staff in meetings and clearing up afterwards.
  • Ordering buffets when required.
  • Ensuring all meeting rooms are clean and tidy before and after meetings.
  • Appointment setting in Outlook for the Managing Director and Projects Director, with reminders prior to meetings.
  • Ensuring all visitors, staff, and customers are treated with respect and bearing in mind equality, diversity and inclusion. This includes examples such as people with a hearing or sight impairment, people with a learning disability, or a wheelchair user. Ensuring the front of house is kept in pristine condition. All desks, windowsills and floor area should be kept clear of clutter, look smart and professional, and free of trip hazards.
Weekly tasks
  • Assist in aspects of the Procurement Procedure including sourcing goods (where applicable), creating and distributing Purchase Orders, and purchasing goods.
  • Assist in all aspects of Subcontract/Supplier administration including the Approved Supplier's List.
  • Assist with monthly vehicle checks, MOTs and car tax.
  • Assist with adding timesheet data onto Simpro.
  • Collecting customer feedback from visitors, over the phone and via email. Logging the feedback on excel and producing simple reports.
  • Distributing and re-stocking Personal Protective Equipment for staff and visitors.
  • Updating displays units on a weekly/monthly basis as required such as Employer's Liability Insurance certificates, and policies.
  • Assisting with producing marketing material for our marketing company to use on social media and the website.
On-going tasks
  • Administrative support for EHS&Q (environmental, quality, health and safety) across all Forth Engineering sites.
  • Help with the Forth staff newsletter and marketing materials.
  • Any other administrative duties as the role requires.
Health and Safety
  • Ensure a safe working environment by adhering to Forth's Health and Safety policy, systems and procedures.
  • Ensure compliance with all Health and Safety legislation
  • Take immediate and appropriate steps to report any risks to health and safety arising from the work activity.

Qualifications

Maths and English GCSE or equivalent grades A-C/4-9

As vacancy is based in Flimby, candidate ideally needs to be no more than 16 miles from Flimby.
