Job description

Department: Employment, Pensions and Immigration - London

Location: London

Description

Working as part of a team, you will provide an excellent standard of secretarial support to the London Employment team, supporting allocated lawyers alongside 5 administrative/secretarial colleagues. You will also support other practice groups as needed. Your role involves acting as a point of contact for lawyers, ensuring the effective completion of their work, and undertaking various secretarial tasks such as managing workflows, organizing schedules, and maintaining client and case files. The team is recognized as a leading Employment law practice, advising many prominent businesses and organizations.

The working hours are 9:00-17:00, Monday to Friday. This role offers a hybrid working model with three days in the office and two days remote.

Key Responsibilities
Client Relationship Management
  • Update and monitor client-specific protocols and processes, providing guidance as necessary.
Administrative
  • Handle outgoing correspondence, including electronic communications and secure document transmission.
  • Manage case files, document bundles, and client information updates.
  • Use case management systems and Outlook for diary management, scheduling, and reminders.
  • Assist with travel arrangements, event planning, and business development activities.
  • Prepare correspondence and documents from digital dictation and format PowerPoint presentations.
Communication
  • Act as a key contact for lawyers, managing emails, post, and liaising with colleagues and external parties.
  • Answer calls and coordinate coverage during absences.
Financial
  • Assist with billing, invoice generation, WIP process, and debt management.
  • Handle expenses and matter-related financial administration.
Managing Consultants via "People Pool"
  • Coordinate with colleagues and clients regarding new inquiries, onboarding, and feedback.
  • Manage consultant invoices, billing, and database updates.
Customer Service
  • Maintain effective communication with lawyers, managers, and clients, offering assistance proactively.
Firm Wide
  • Operate with awareness of the firm's international structure, managing risks and compliance, including data security.
Skills, Knowledge and Expertise
  • Experience in legal or professional services environment.
  • Strong organizational skills, high standards for document and communication quality.
  • Advanced proficiency in Microsoft Office, especially PowerPoint, and case management systems.
  • Excellent communication and customer service skills.
  • Ability to manage multiple priorities, investigate issues, and work collaboratively.
  • Discreet, well-organized, detail-oriented, and adaptable to change.
