Job description

My client, an international law firm, is looking for an EA to work within their private tax team. This is a permanent position based close to Liverpool Street Station. The hours are 9.30am-5.30pm, working 3 days in the office and 2 from home.

Main Responsibilities

Administrative

  • Proactively manage and control fee earner diaries, prioritising commitments and arranging appointments, conferences, and meetings across different time zones and offices, using various IT tools.
  • Develop and maintain a file management system for all correspondence and documents, adhering to naming conventions.
  • Coordinate with fee earners to identify work commitments and priorities.
  • Prepare for meetings, including pre-reading, follow-up, and recording actions.
  • Handle travel arrangements, visas, bookings, and itineraries, ensuring compliance with travel policies.
  • Coordinate with global visitors and manage office tasks like photocopying and post.
  • Ensure partner PDPRs are up to date.

Client relationship management

  • Build and maintain relationships with clients and their teams.
  • Support marketing activities, including research, pitches, and presentations.
  • Assist with business development tasks and maintain the CRM system.
  • Participate in team meetings and track action points.

Financial

  • Ensure accurate onboarding of new clients and matters.
  • Produce compliance documents and participate in WIP and credit control meetings.
  • Manage billing processes, including prebills and invoices.
  • Assist with financial queries and reports using Aderant.
  • Ensure accurate processing of disbursements and client payments.
  • Undertake client audits and maintain expense records.

Communication

  • Act as gatekeeper for fee earners, managing messages and correspondence.
  • Manage email and post efficiently, developing systems to improve workflow.
  • Draft correspondence, engagement letters, and documents as needed.

Document and File Management

  • Delegate document production and transcription tasks appropriately.
  • File documents in iManage following policies.
  • Conduct regular records management and file reviews.

Additional Responsibilities

  • Identify and own new responsibilities and tasks.
  • Drive process improvements and support colleagues.
  • Share knowledge within the team and mentor junior members.
  • Stay informed on practice and business issues to prioritize effectively.
