Job description

Honeycomb is thrilled to be partnering with a prestigious and well-established legal firm in the search for an experienced Legal PA to join their busy Belfast team.

The Job

This position sits within a well-established Real Estate team, that works across all stages of the property lifecycle. The team covers a wide range of areas, including planning, environmental matters, real estate finance, and property disputes. They have experience in sectors such as construction, development, energy, infrastructure, hotels and leisure, investment, landlord and tenant matters, and real estate tax.

Key Responsibilities

  • Diary and meeting management: Scheduling appointments, coordinating meetings, and handling logistics such as refreshments and conference calls.
  • Opening and closing files, keeping digital records updated, managing inboxes, and responding to urgent emails

  • Acting as a contact point for clients, taking messages, and handling basic enquiries professionally

  • Working with other secretaries to provide smooth support, including cover for holidays and sick leave

  • Helping with financial tasks like creating WIP and debt reports, and supporting the billing process

  • Managing legal documents and correspondence from drafting to delivery, including working with Document Specialists

  • Preparing onboarding paperwork such as engagement letters, conflict checks, and AML documentation

  • Updating contact databases (e.g. InterAction), supporting marketing and business development, and assisting with events

  • Booking travel and preparing related materials

  • Ordering and managing property and legal searches through systems like TM Group and Land Registry

  • Taking on extra tasks and working flexibly, including outside normal hours during busy times

The Person

  • Experienced Legal Secretary or PA (Essential)
  • Strong diary management, organisational, and prioritisation skills
  • Excellent communication skills with the ability to build strong client and internal relationships
  • Works well collaboratively as part of a team
  • Fast and accurate typist (minimum 65 words per minute)
  • Skilled in producing high-quality legal documents
  • Professional telephone manner with accurate message-taking and follow-up
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook - Microsoft 365)
  • Experience using document or case management systems (e.g. iManage)
  • Familiarity with legal finance systems (e.g. time recording and billing tools)
  • Experience with CRM systems (e.g. InterAction)
