Job description

A dynamic and forward-thinking law firm with prominent offices at Fleet Street/Holborn is seeking a Facilities Coordinator to join their small support team. The position is initially a 4-6 week temporary role with the potential to become a permanent staff member.

This is a varied role where you will work closely with the HR & Office Managers. Your daily responsibilities will include:

  1. Performing general office services tasks such as mail handling, couriers, scanning, and reprographics.
  2. Liaising and supervising subcontractors, suppliers, and engineers for ad hoc repairs and planned maintenance.
  3. Assisting with setting up furniture configurations for conference rooms used for seminars and training sessions.
  4. Organizing furniture setups for all other client meeting rooms across two sites.
  5. Setting up equipment within rooms, including laptops, portable projectors, and screens.
  6. Coordinating with IT, Front of House, Marketing, and Catering teams regarding setup options.
  7. Handling reactive tasks such as delivering supplies, furniture, or equipment within the premises.
  8. Liaising with off-site storage facilities.
  9. Participating in tendering and negotiations with suppliers.

To qualify, you should be a confident and outgoing individual, comfortable liaising with Partners and senior management. You must have at least 3 years of office facilities experience, including the tasks listed above in a professional office setting. Experience dealing with suppliers and contracts is advantageous.
