Legal Executive Assistant
About the Role
We are seeking an experienced, highly organised, and proactive Legal Executive Assistant to provide comprehensive and executive, administrative support to our Directors. This is a key role within the firm, requiring a dynamic individual who can effectively manage competing priorities, maintain confidentiality, and ensure the smooth day-to-day operation of the business. The successful candidate will act as a trusted support to the Directors, managing complex schedules, coordinating deadlines, handling client communications, preparing legal documentation, and supporting operational activities across the firm. The role requires a professional who can work efficiently in a fast-paced legal environment, demonstrate excellent attention to detail, and confidently work independently, including periods of lone working.
Key Responsibilities
- Provide high-level executive and administrative support to the Directors.
- Manage complex and ever-changing diaries, appointments, meetings, and business commitments.
- Coordinate and monitor critical legal, court, client, and business deadlines, ensuring all actions are completed on time.
- Act as a professional first point of contact for clients, counsel, courts, stakeholders, and external partners.
- Draft, proofread, format, amend, and produce legal documents, correspondence, reports, presentations, and meeting materials.
- Prepare meeting agendas, board packs, presentations, and supporting documentation.
- Monitor emails, correspondence, and enquiries, prioritising urgent matters and responding where appropriate.
- Answer telephone calls, take accurate messages, and redirect calls as necessary.
- Maintain and organise legal files, records, inventories, databases, and document management systems.
- Assist with file opening procedures, compliance checks, and administrative legal processes.
- Coordinate meetings, take minutes when required, and follow up on action points.
- Arrange travel, accommodation, and meeting logistics for Directors as required.
- Liaise effectively with clients, colleagues, legal professionals, and third parties to facilitate the smooth progression of matters.
- Handle highly confidential and sensitive information with discretion and professionalism.
- Support Directors with operational projects, business initiatives, and ad hoc tasks as required.
- Ensure all administrative and legal support activities are completed accurately and efficiently.
Skills and Experience
- Minimum 2 years' experience as a Legal Executive Assistant, Executive Assistant, Legal Secretary, or similar role within a law firm.
- Strong knowledge of legal terminology, legal procedures, court systems, and regulatory requirements.
- Excellent organisational and time-management skills with the ability to manage multiple priorities simultaneously.
- Exceptional diary and calendar management experience.
- Strong document production, proofreading, and typing skills with a high level of accuracy.
- Excellent written and verbal communication skills.
- Ability to work under pressure and meet strict deadlines.
- Proficiency in Microsoft Office, including Outlook, Word, and Excel.
- Experience using legal technology, court filing systems, and case management software.
- Strong interpersonal skills and the ability to build positive relationships with clients and colleagues.
- Ability to work independently, use initiative, and remain productive during periods of lone working.
- High levels of professionalism, discretion, and confidentiality.
- Excellent attention to detail and problem-solving abilities.

Salary: £30,000 - £40,000 per annum
