Job description

The Opportunity:

You will be responsible for ensuring the registration of Trusts with the Trust Registration Service in accordance with the 5th Anti Money Laundering Directive are being carried out and will provide comprehensive archiving and administrative support to the firm . You will be supporting our Private client team as well as across other departments where referrals are made. The hired candidate will receive detailed training on the Trust Registration process.

The Role:

This role will see the successful candidate undertaking the following tasks:

  • Researching the Practice Management system for all Trust Documents
  • Carrying out research for Matters that have been identified with Trusts that need registering with the Trust Registration Service (TRS)
  • Working with the Private Client team and supporting other teams with the work which is referred across.
  • Contacting Clients and informing them of their unregistered trusts and guiding them through the registration process of the TRS
  • Liaising with Clients through emails and telephone calls
  • Using our ALB system to update data records
  • Booking meetings with Clients
  • Invoicing Clients for fees of their registration of Trusts with the TRS
  • Meeting and greeting clients and taking ID documents
  • Ensure all feedback received from Clients or 3rd parties regarding the Firm or a service provided is passed on to the appropriate individual.
  • When appropriate, make file notes of meetings or telephone calls
  • To undertake any specified responsibility and to be familiar and comply with the requirements of all regulatory/professional quality standards within your Department, the Firm’s compliance and quality standards procedures and policies
  • To undertake any other reasonable duties or activities which may be allocated

They should be a team-player who can quickly gain the trust of their team and clients as well as our professional colleagues in this demanding area of legal work. We are looking for a candidate who:

  • Can ensure that all documents are produced in accordance with Firm’s house style
  • Will be competent in each of the firm’s systems including: Microsoft software packages, ALB (Practice Management system) and any bespoke packages as required
  • Will report any IT/PMS issues to the relevant individuals or 3rd party IT Support provider
  • Can troubleshoot equipment when required
