The Royal Marsden NHS Foundation Trust is seeking a skilled Learning Management System (LMS) Administrator to support the administration of our Learning Hub. Job overview

The Royal Marsden NHS Trust is looking for a skilled and motivated Learning Management System (LMS) Administrator to support the administration of our digital learning platform. The role involves providing end-to-end LMS administration, including learner support, system configuration, and maintenance activities. Applicants must have experience working as a LMS Administrator.

Main duties of the job

1.1 The post holder will provide operational and administrative support for the Trust’s Learning Management System (Learning Hub), ensuring the effective delivery, maintenance, and continuous improvement of digital learning resources. Working closely with internal departments, trainers, subject matter experts, and system providers, they will support the administration of learning content, maintain system functionality, and uphold data quality standards.
1.2 Key responsibilities include managing a comprehensive portfolio of online learning courses, audiences, certifications, assessments, evaluations, and dashboards; maintaining learner records and user accounts; producing statutory, compliance, and ad hoc reports; and ensuring the accuracy and integrity of learning data in line with Information Governance requirements.
1.3 The role requires close collaboration with workforce, administrative, and technical teams to support system enhancements, testing activities, and ongoing service improvements. The post holder will provide guidance on course administration and reporting and help ensure organisational compliance with learning and development requirements.

Detailed job description and main responsibilities

2.1 Create and administer system accounts for Institute of Cancer Research (ICR) staff, external partners, volunteers, students, honorary contract holders, and other non-standard user groups requiring access to the Learning Hub.
2.2 Create, manage, and maintain course pages, providing guidance and recommendations to Learning and Development colleagues, educators, and subject matter experts on course page design and structure.
2.3 Ensure the online course catalogue remains accurate, current, and aligned with organisational requirements.
2.4 Maintain and enhance the look, functionality, and user experience of the Learning Hub, ensuring a high-quality and accessible learning environment.

2.5 Manage audience structures within the Learning Management System, including the creation, maintenance, and review of dynamic and manual audiences to support mandatory training assignment, learner targeting, compliance monitoring, and organisational reporting requirements.

2.6 Create, configure, and maintain certification programmes within the Learning Management System (Totara), ensuring learning pathways, renewal requirements, compliance rules, and recertification periods are accurately aligned to organisational and statutory training requirements.

Education/Qualifications
  • A good level of computer literacy including Microsoft Word, Excel PowerPoint and Outlook
  • Educated to GCSE level including English & Maths at Grade C or equivalent
Experience
  • Experience in an office administrative role and providing high quality administrative support to others
  • Experience of using computer systems for data input, reporting and statistical manipulation
  • Experience of providing a quality service to customers and diffusing difficult situations
  • Experience in working with learning management systems
  • Knowledge and understanding of Learning Management Systems, with experience of the Totara platform.
  • Ability to learn, apply, and support new system enhancements and functionality within Totara environments.
Skills Abilities/knowledge
  • Good written communication skills; ability to produce and compose documents to a high standard of presentation with good written English
  • Good oral communication and interpersonal skills; ability to provide clear instruction, convey confidence and use questioning to check understanding and ability to confidently communicate with staff at all levels
