Job Summary:

The Lead Surgical Coordinator is essential to the orthopedic/sports medicine practice, managing surgical schedules and supporting the Practice Manager. They coordinate with hospitals for patient pre-op testing and medical clearances, ensuring a smooth process. The role involves triaging calls, scheduling office visits, tests, and procedures, and managing the Physician’s calendar, including academic meetings and travel. Additionally, they assist with staff training, workflow optimization, department oversight, and computer application support.

Duties and Responsibilities:

  • Maintain surgical schedules and obtain authorizations as needed.
  • Coordinate with hospitals to schedule and arrange patient pre-op testing and medical clearances.
  • Triage patient phone calls efficiently, ensuring appropriate scheduling for office visits, tests, and surgeries.
  • Prepare and organize patient charts and related records for easy access.
  • Contact and confirm procedure dates and times with patients, ensuring clear communication.
  • Manage the Physician’s weekly schedule, coordinating academic meetings and travel arrangements.
  • Monitor daily department activities and distribute work to maintain an efficient workflow.
  • Train new staff, administer competencies, and develop training manuals to support team success.
  • Complete annual evaluations for Surgical Coordinators/Secretaries in collaboration with the Practice Manager.
  • Supervise Surgical Coordinators/Secretaries, monitor call-outs and vacation requests, and assist with office flow and coverage planning.
  • Provide recommendations to enhance and maintain department procedures.
  • Assist in interviewing, onboarding, and ongoing training of new employees.
  • Collaborate with the Practice Manager and Physicians to support practice growth and efficiency.
  • Uphold confidentiality, professionalism, and compliance with hospital and regulatory requirements.
  • Foster teamwork, problem-solving, and a positive work environment.
  • Demonstrate flexibility and a willingness to go above and beyond in daily responsibilities.
  • Maintain a positive attitude and serve as a role model for colleagues.
  • Adhere to hospital policies and procedures, ensuring punctuality and reliability.

Requirements:

High school diploma required.

Minimum of six months job-related experience or equivalent required.
