Job description

Location: Must live within a 30-minute drive from downtown Lancaster, PA

Reports To: Owner

Department: Maintenance

Employment Type: Full-Time

Core Responsibilities
  1. Property Inspections & Documentation: Conduct weekly exterior and monthly interior inspections of all assigned properties to assess maintenance needs and identify potential issues. Utilize maintenance management software to document findings, take photographs, and generate detailed reports.

  2. Estimates & Budgeting: Prepare accurate estimates for maintenance projects, including labor, materials, and equipment costs. Assist in budgeting and cost control to ensure projects are completed within financial parameters.

  3. Subcontractor Oversight: Coordinate and oversee subcontractors performing specialized tasks, ensuring quality and adherence to timelines. Review and approve subcontractor invoices for accuracy and compliance with agreed terms.

  4. Materials Management: Order, purchase, and pick up materials required for maintenance tasks. Maintain inventory of supplies and equipment, ensuring availability and proper storage.

  5. Vehicle Operation: Operate company vehicles to transport materials and equipment to job sites. Use personal vehicle when necessary for tasks not requiring a company vehicle.

  6. Field Labor & Supervision: Perform hands-on maintenance tasks, including lawn care and upkeep of lawn equipment and maintenance storage area, trash removal, and snow removal. Must be able to perform general handyman tasks including lock changes, boarding up windows, painting, basic drywall repair, basic plumbing and electrical knowledge; prior experience is preferred but not required with alarm and sprinkler systems.

  7. Communication & Coordination: Maintain regular email communication with property occupants regarding maintenance schedules and updates. Coordinate with clients and staff to ensure timely completion of maintenance tasks.

  8. Client Interaction & Problem Solving: Serve as a forward-facing representative, engaging directly with clients to address concerns and provide updates. Demonstrate exceptional problem-solving skills to resolve maintenance issues promptly and effectively.

  9. On-Call Availability: Be available for on-call duties, including weekends, as required. At least 2 weeks a month on call 24/7 for response to urgent maintenance concerns at the properties.

Qualifications & Skills
  1. Experience: Minimum of 3–5 years in a maintenance role, with at least 2 years in a supervisory capacity.

  2. Technical Skills: Proficient in using maintenance management software and basic computer applications, including Microsoft Office.

  3. Certifications: Valid driver's license and clean driving record.

  4. Physical Requirements: Ability to lift over 50 lbs and walk 10–15k steps per day.

  5. Communication: Strong written and verbal communication skills.

  6. Location Requirement: Must reside within a 30-minute drive from downtown Lancaster, PA.
