Manchester University NHS Foundation Trust – LD Health Team Administrator

The closing date is 13 October 2025

We are looking to recruit a team administrator to our friendly team in the south of the city.

The post holder will be responsible for providing effective and efficient clerical and administrative support to a team of healthcare professionals, in the Learning Disability Community Service. The role will involve the coordination and implementation of office procedures and will require a high degree of organisational skills and excellent working knowledge of administrative systems. The post holder will often be the first point of contact and a focal point for the services requiring clear communication and liaison skills. They will work alongside the Health Managers and need to be able to use their own initiative and prioritise tasks.

We operate a referral system and you will be instrumental in processing referrals through the system.

The post holder will be required to work as part of a team at a community base and provide cross citywide cover during periods of staff absence.

Main duties of the job
  • Planning and organisational tasks/duties
  • To use a variety of software packages such as Microsoft Word, Outlook, Powerpoint, Excel etc to produce correspondence and maintain presentations, records, spreadsheets and databases. Also local clinical recording systems e.g. EMIS.
  • To devise and maintain office systems.
  • To collate data for performance reporting as required.
  • To attend meetings to take notes and actions in line with record keeping
  • To liaise with staff in other services and with external contacts.
  • To sort and distribute incoming post and organise and send outgoing post
  • To organise, store and archive paperwork, documents and computer-based information
  • To photocopy and print various documents

Patient/client user related tasks/duties

  • Deal with telephone communications and type letters.
  • Participate in service development projects supporting staff surveys or audits as necessary.
  • Provide non-clinical advice and information to patients/clients/relatives; exercising judgement when dealing with patient enquiries, analysing and resolving problems at source.
  • Participating in the referral process taking minutes, input to EMIS and templates and liaising with clinicians.
  • Responsibility for ordering equipment and office supplies on behalf of the team.
