Allports Group in Lichfield is seeking an organised logistics coordinator to manage vehicle progression from sale through to delivery. You will update systems, coordinate with internal teams and keep customers informed throughout the process, ensuring a showroom-ready handover.

The role emphasizes proactive issue resolution, strong communication, and attention to detail to maintain delivery schedules and high yard standards.

Collaborating with our LCV Team you will ensure the efficient and accurate management of vehicle progression from sale through to delivery, maintaining up-to-date records and systems in line with Company procedures. Coordinate with internal departments to prioritise work, maintain delivery schedules and keep customers informed throughout the process. Deliver an exceptional customer handover experience through clear communication and vehicle demonstrations. Proactively resolve and accelerate issues, maintain high standards of yard presentation, and continually identify opportunities to improve systems, processes and the overall customer experience.

Asset Arrivals

• Ensure all vehicles are checked in accordance with company procedures, including inspections for damage, missing items and accurate recording of any discrepancies.
• Update relevant systems promptly, communicate vehicle arrival information and ensure all vehicle paperwork, identification, keys and sales displays are correctly managed.

Order Progression

• Maintain regular communication with customers regarding delivery progress, working closely with Sales Executives and the LCV Sales Support Manager.
• Arrange purchase orders (POPs) in advance for all required work, equipment and external suppliers.
• Proactively monitor order progress and coordinate with relevant departments to ensure delivery schedules are maintained.

Sold Assets & Delivery Follow-Up

• Ensure all sold vehicle records and documentation are accurately updated in line with company and manufacturer procedures.
• Complete and distribute all relevant purchase orders, ensuring costs are correctly allocated.
• Identify, monitor and report any issues or concerns raised by customers during follow-up calls.
• Escalate and communicate relevant feedback promptly to the appropriate departments and management.

Vehicle Progression, Deliveries and Handover

• Manage incoming stock, ensuring vehicles are accurately recorded on relevant systems, with purchase orders, inspections and PDI requirements arranged.
• Coordinate vehicle preparation, workshop bookings, external suppliers and vehicle movements to ensure efficient progression and adherence to delivery schedules.
• Complete thorough pre-delivery and final vehicle checks, ensuring vehicles are undamaged, correctly equipped, branded, documented and presented to showroom standard.

Administration & Reporting

• Maintain accurate and up-to-date vehicle records and systems, providing regular progress updates on current, future and sold stock.
• Support management reporting, including weekly progress reports, handover documentation and the timely communication and escalation of issues.
