Job description

LBA is a leading literary agency that represents bestselling commercial authors and brands around the world.

The agency assistant is a pivotal role within a small team. We’re looking for an engaged, proactive candidate. They must first and foremost be a fantastic administrator. The role involves general administrative, accounts and submissions support for the agency.

This can be a full-time or part-time role. The candidate would be expected to work Tuesdays, Wednesdays and Thursdays in the Central London-based office (p/t and f/t); on Mondays and Fridays, work can be done from home (f/t). Our hours are 9.30am to 5.30pm.

Responsibilities will include but not be limited to:

Contracts: checking drafts, sending for signatures, logging author and agreement details in the client database, tracking rights reversion.
Accounts: raising invoices, chasing payments, sending payment advices to authors, managing and updating royalty statement records, managing tax exemption forms.
Office: maintaining tidy and appealing office space, handling incoming and outgoing post, ordering office supplies, organising book and waste collections, liaising with cleaning service/repairmen/external IT support, making tea or coffee for meetings at the office
Diary: managing meetings and book fair appointments for the primary agents, minute-taking and updating editor database for agency
Website and Social Media: developing and updating the agency’s online platforms proactively with author and book news
Author queries: managing email and phone queries, handling client requests, e.g. appearances, quotes and charity requests
Submissions: responding to and tracking unsolicited manuscript submissions

Skills and qualities:

• Great organisational skills: strong at administration and time management, with an initiative-taking, problem-solving approach
• A self-starter able to work both alone and also in a busy office
• Excellent communication skills, both verbal and written, with close attention to detail
• Strong MS Word and Excel skills; Canva and Photoshop an advantage
• Passionate and enthusiastic about commercial books and media

Full training will be given on LBA systems and procedures, including Bradbury Phillips database.
