As we expand our portfolio of super-prime commissions, we’re seeking a dedicated Procurement Buyer to source the finest plants, materials, and garden-specific products that match our exacting standards.

Role Overview:

As our Procurement Buyer, you will be the primary point of contact for all purchasing activities related to super-prime residential and estate gardens. You’ll work directly with garden designers, project managers, and the operations team to translate design intent into a precise procurement plan. Your day-to-day will involve negotiating with specialist nurseries, stone yards, and bespoke fabricators, monitoring complex lead times, and ensuring prompt delivery and quality control. This role requires someone who truly understands that every specimen tree or hand-crafted stone feature must align with a client’s vision—and our reputation for excellence.

Key Responsibilities:

Supplier Research & Selection

  • Identify, vet, and build relationships with premium nurseries, growers, quarries, stone fabricators, metal-work shops, and irrigation/lighting specialists.
  • Source rare, heritage, or specimen plants and bespoke hardscape elements (e.g., handcrafted gates, custom stone paving, imported statuary).

Order Processing & Logistics

  • Issue purchase orders with clear specifications (plant sizes, species, stone finish, dimensions).
  • Coordinate international or domestic shipping logistics, including oversized freight for mature trees or delicate garden sculptures.
  • Schedule deliveries in sync with site-installation phases to minimize storage costs and handling risks.

Cost Management & Budget Control

  • Develop and maintain detailed procurement budgets for each estate project.
  • Track actual costs versus estimates, identify variances early, and propose cost-saving alternatives without compromising quality.
  • Negotiate payment terms, volume discounts, or exclusive rates to achieve best-in-market pricing.

Quality Assurance

  • Conduct on-site or remote spot-checks at nursery and fabrication facilities to confirm compliance with specifications.
  • Verify plant health (size, root ball condition, pest-free status), and inspect hardscape materials (stone strength, finish detail, certified specs).
  • Manage any pre-delivery inspections—such as container checks for imported trees or factory acceptance tests on bespoke irrigation components.
  • Maintain a preferred supplier list, evaluate vendors on “on time, on spec, on budget” performance, and hold regular review meetings.
  • Proactively identify new vendors or innovative product offerings (e.g., sustainable garden features, cutting-edge LED lighting systems).
  • Address any issues—delays, quality shortfalls, or shipping damage—swiftly, negotiating replacements or remediation plans.

Inventory & Stock Control

  • Keep a real-time procurement database for plants and materials on each estate.
  • Reconcile deliveries against purchase orders, record returns or replacements, and update site-level stock logs.
  • Forecast re-order points for ongoing maintenance or future phases (e.g., seasonal bedding, replacement specimen trees).

Cross-Functional Collaboration

  • Collaborate closely with garden designers to confirm plant choices and hardscape finishes.
  • Liaise with construction managers and site supervisors on staging, storage, and handling requirements—especially for large-scale or delicate items.
  • Share procurement timelines in weekly status meetings so everyone remains aligned on schedule and budget.
  • Research new plant cultivars, rare species introductions, and best-practice sustainable sourcing.
  • Keep abreast of luxury hardscape innovations (e.g., artisanal paving techniques, bespoke water features) that elevate design quality.
  • Recommend alternate products when supply chain issues arise, while preserving design intent and cost targets.

  • Ability to secure competitive pricing while honoring the uncompromising quality standards of super-prime clients.
  • Skilled at negotiating payment terms, volume discounts, and exclusivity agreements.

  • Meticulous in verifying plant health (size, root condition) and hardscape finish quality (exact color, grain, tolerance).
  • Rigorous tracking of lead times to ensure just-in-time delivery, avoiding bottlenecks or wasted storage.

Time & Project Management

  • Comfortable juggling multiple projects simultaneously, each with its own budget and delivery schedule.
  • Exceptional organizational skills: can foresee potential delays (e.g., backordered trees) and propose alternatives proactively.
  • Excellent verbal and written communication: able to present budget updates to senior stakeholders, and liaise directly with estate owners when required.
  • A strong team player who partners seamlessly with garden designers, project managers, and site supervisors.

Problem-Solving & Adaptability

  • Resourceful in sourcing replacement items to meet tight deadlines—whether due to supplier backorders, shipping damages, or last-minute design changes.
  • Ability to think creatively: suggest alternative materials or sustainable options without sacrificing design integrity.

Technical Proficiency

  • Advanced Excel skills for budgeting, P&L tracking, and stock reconciliation.
  • Familiarity with basic horticultural software or plant-management databases is a plus.
  • Track record of building long-term partnerships with premium suppliers.
  • Regularly evaluates vendor performance and drives continuous improvement in cost, quality, and delivery.
  • Up-to-date on emerging plant varieties, sustainable sourcing trends, and innovations in luxury hardscape fabrication.
  • Understands broader estate maintenance considerations—forecasts future replacement cycles and advises on inventory accordingly.

Qualifications:

Education:

  • Bachelor’s degree in Horticulture, Landscape Architecture, Supply Chain Management, Business Administration, or related field.
  • Equivalent combination of education and relevant procurement experience may be acceptable.

Experience:

  • 5–7 years minimum in a procurement or buying role—preferably within a high-end landscaping, luxury residential development, or estate-management context.
  • Demonstrated track record handling “super-prime” residential or estate clients, with comfort working under intense detail and timing pressures.
  • Proven history of negotiating with specialist nurseries, stone yards, and bespoke fabricators.

Industry Knowledge:

  • Strong familiarity with horticulture: plant species, seasonal availability, growing zones, container versus field-grown stock.
  • Deep understanding of hardscape materials: natural stone types (granite, limestone, sandstone), metal finishes, specialty aggregates, and bespoke fabrication processes.
  • Awareness of logistics complexities tied to importing mature specimen trees or oversized stone elements.

Technical Requirements:

  • Proficiency in procurement software (e.g., Oracle, SAP Ariba, BigChange) or advanced Excel (pivot tables, VLOOKUPs) for detailed cost tracking.
  • Comfortable reviewing and interpreting technical drawings, plant schedules, and hardscape specification sheets.
  • Strong command of standard procurement processes: RFQs, POs, budget forecasting, invoice reconciliation.
