Job description

The Transplant and Cellular Immunology Laboratory, situated at St James's University Hospital in Leeds, is seeking a talented and enthusiastic laboratory/patient pathway coordinator.

The Transplant Assessment and Relative Opportunity Tool (TAROT) is a novel approach to guiding difficult-to-transplant patients through the pathway with the aim of increasing transplant opportunities; this programme requires a pathway coordinator to support its successful implementation and ongoing operation.

The successful candidate will provide administrative support to the laboratory and clinical teams involved in the complex immunological interventions that comprise TAROT.

Main duties of the job

Duties will include:

  • Being the main point of contact between the clinical teams (primarily the renal transplant coordinators) and the laboratory team:
  • Attend regular coordinator meetings to align priorities
  • Respond to simple results queries
  • Ensure laboratory results are updated on relevant information management systems.
  • Attend Complex Immunology MDT meetings to record notes and outcomes.
  • Monitor and maintain the renal registrations administrative workload, proactively chase results, and ensure the right samples have been received.
  • Respond to senior staff requests for data gathering, audits, and ad hoc projects related to the patient pathway
  • Assist in the creation of a TAROT core dataset and data management pathway

Job responsibilities

Job Purpose/Summary: To provide a comprehensive secretarial/administrative service to the Transplant Immunology team in support of the TAROT programme. The successful applicant will work flexibly, adapting to changing demands within the team. The postholder must communicate sensitively and effectively with a wide range of people, including patients, medical staff, coordinator teams nationally, and the wider multidisciplinary team. Confidentiality and discretion are imperative at all times.

The postholder will be based at St James's, undertaking administrative responsibilities in support of the laboratory and coordinator teams, including understanding the roles of donor coordinator, live donor coordinator, and renal recipient coordinator, as well as laboratory interactions. Knowledge of procurement and transplant aspects (approx. 60 donors and 240 transplants per year) is essential. Exercise safe handling of office equipment, including sensitive data.

Principal Duties & Areas of Responsibility:

  • Providing secretarial and administrative support to the laboratory team for the TAROT programme, including filing, typing, photocopying, distributing information, and managing emails.
  • Organising and prioritising workload
  • Setting up and monitoring office systems and structures, liaising with team members
  • Managing diaries for laboratory workload
  • Organising meetings and appointments locally and nationally
  • Representing the department professionally in communications
  • Setting up and maintaining databases, e.g., renal patient pathway database, liaising with nursing teams to ensure accuracy
  • Maintaining laboratory TAROT information management systems
  • Preparing statistics for the team
  • Attending team meetings, taking minutes, and ensuring follow-up
  • Maintaining office systems and equipment, ordering supplies
  • Responding to enquiries politely and effectively, prioritising messages and following up as needed
  • Being the first point of contact for transplant co-ordinators' queries
  • Participating in multidisciplinary team meetings, taking minutes, and ensuring records are accurate
