IT Coordinator

Location: London, Fenchurch Street

Level: Analyst

Job Purpose:

The role is responsible for coordinating employee technology requests, supporting the technology requirements of new joiners, managing stock and suppliers, supporting technology refresh programmes, and overseeing specialist services such as 3D printing. Working closely with internal stakeholders, external vendors, and the UK Workstation Lead, the role helps maintain efficient day-to-day operations while delivering a high-quality employee experience.

Job Responsibilities:
New Joiner Technology Support
  • Coordinate workplace technology and equipment requirements for new joiners, helping ensure employees have the appropriate equipment and accessories to be productive from the start of their employment.

  • Manage and monitor new joiner requests, coordinating with relevant internal teams to ensure equipment is prepared and available within required timescales.

  • Arrange peripherals, laptop accessories, and other required technology equipment for new employees.

  • Track new joiner requirements and equipment allocations, maintaining accurate records throughout the onboarding process.

  • Respond to new joiner and stakeholder queries, providing clear updates and ensuring requests are followed through to completion.

Workplace Technology & Equipment Support
  • Manage the laptop accessories mailbox, responding to employee requests for peripherals, accessories, and workplace technology equipment.

  • Coordinate requests from initial enquiry through to fulfilment, ensuring employees receive appropriate equipment in a timely manner.

  • Maintain accurate inventory and stock records, ensuring equipment movements and allocations are appropriately recorded.

Office Stock & Inventory Management
  • Coordinate the ordering, tracking, and replenishment of office and technology-related stock across UK locations.

  • Monitor stock levels and usage to ensure appropriate supplies are available to support business requirements, including anticipated new joiner demand.

  • Maintain accurate inventory records and assist with stock reconciliation and reporting.

  • Work with relevant teams and suppliers to resolve stock shortages, delivery delays, and other operational issues.

Vendor & Supplier Management
  • Act as a key point of contact for external vendors and suppliers supporting Enablement Team services.

  • Build and maintain effective supplier relationships to support reliable and efficient service delivery.

  • Raise and track purchase requests and coordinate orders in line with internal processes.

3D Printing Service
  • Manage and coordinate employee 3D printing requests from initial submission through to completion.

  • Review incoming requests, manage scheduling, and coordinate production requirements.

  • Coordinate the delivery or collection of completed items.

UK PC Upgrade Programme
  • Support the administration and ongoing delivery of the UK PC Upgrade Programme, ensuring eligible employees are regularly invited to refresh their workstations in line with technology lifecycle requirements.

  • Create, maintain, and monitor upgrade programmes and associated employee populations.

  • Work closely with the UK Workstation Lead to coordinate upgrade activity and support successful programme delivery.

Customer Support & Query Management
  • Manage employee queries relating to workplace technology services, new joiner requirements, and the PC Upgrade Programme through the IT Service Desk and shared mailboxes.

  • Provide clear, timely, and professional communication to employees throughout their requests.

  • Investigate and troubleshoot issues, escalating where appropriate and ensuring requests are followed through to resolution.

Operational Support & Continuous Improvement
  • Maintain operational documentation, procedures, trackers, and supporting materials to ensure processes remain accurate and up to date.

  • Support continuous improvement initiatives across Enablement Team services.

  • Contribute to the delivery of a consistent, efficient, and positive employee experience throughout the employee technology lifecycle, from new joiner onboarding through to workstation refresh and ongoing technology support.
