Job Overview

Working within our IT & Compliance team, based at Fair Havens in Southend on Sea, and Little Havens in Thundersley, this role plays a key part in supporting the Head of IT & Compliance with administrative tasks, ensuring that the charity is compliant with all data protection and information governance regulations.

Please be aware that Havens Hospices is unable to offer UK visa sponsorship at this time.

Agile working options may be considered once the 6-month probationary period has been successfully completed although it should be noted that this role will be predominantly office-based in Southend on Sea.

Main duties of the job

  • To provide administrative support in maintaining the register of data processing/sharing agreements between the Charity and other organisations.
  • To support the Head of IT & Compliance in ensuring the Charity complies with all relevant legislation in relation to information governance, including the General Data Protection Regulation and Data Protection Act 2018.
  • To provide administrative support with information requests under current Data Protection Legislation and the Freedom of Information Act/Environmental Information Regulations, assisting the charity to ensure that requests are dealt with in accordance with legislation and within agreed timescales.
  • To act as the main point of contact for all enquiries and requests in respect of Data Protection across the charity and from external stakeholders.
  • To provide administrative support in the delivery of a programme of audits and create assurance reports on the auditing of compliance across the Charity.
  • To monitor progression of all Compliance related action plans and audits according to our published schedule.
  • To support in maintaining a suite of policies and procedures to ensure the Charity has a comprehensive Information Governance framework.
  • To provide administrative support to ensure the Charity has a well-maintained information asset register, with assets being risk assessed accordingly.
  • To ensure the Charity has an accurate, complete and maintained data protection registration with the Information Commissioners Office.
  • To work with Managers, Heads of service and Directors to assist in progressing and coordinating compliance related projects and initiatives.
  • To provide administrative support in the implementation of the overarching Charity Information Governance Strategy and Framework in support of statutory and regulatory requirements (e.g., Data Security and Protection (DSP) Toolkit and PCI DSS).

Qualifications

Essential criteria

  • GCSE/A Levels/Degree in English & Maths, or equivalent qualification.

Desirable criteria

  • A basic practical knowledge of Data Protection/GDPR.
  • Full UK Driving Licence and access to own vehicle.

Skills & Experience

Essential criteria

  • Demonstrable experience of working within an administration role.
  • Ability to use Microsoft Office (including Word, Excel, PowerPoint, Outlook, Teams), databases, other relevant software and systems, and the internet to an intermediate level.
  • Ability to update and maintain records, databases, and other systems accurately and efficiently, including CRMs.
  • Skills in understanding and interpreting data and in data analytics e.g. advanced excel skills.
  • Excellent written and verbal communication skills.
  • An understanding of how confidentiality and data protection applies to an organisation.

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
