Salary Banding : circa £31,000-£33,000 FTE/pro rata
Job Level : Implement
Location : HQ - This role is contractually based at Allianz Stadium, offering some flexibility to work from home
Employment Type : Permanent, part time (3 days/21 hours per week, Weds-Friday)

The Role:

To support the governance obligations of the IPF and provide professional, friendly and comprehensive charity administrative support to the IPF Director and Client Services function.

Reporting to the Head of IPF, they will predominantly be responsible for ensuring the IPF's beneficiary case management support and grant programmes are administered and efficiently monitored for effective delivery and that the IPF policies are fit for purpose and adhered to. They will also provide secretarial support to Trustees and facilitate Trustee training and induction. This role is part-time, working alongside another part-time Governance Officer covering Mon-Weds.

Some key responsibilities include:
  • Manage the RFU Injury reporting process, ensuring compliance with agreed service level agreements and management of critical issues.
  • Perform the duties of the IPF Data Steward; manage the IPF case management software; ensure accurate and up to date record keeping in line with GDPR, client confidentiality; and support staff training.
  • Support the client services programme, including coordination with the Client Services Manager (CSM), IPF Welfare Officer (IPFWO) and Client Services Officer (CSO) to ensure the effective delivery of welfare and grant giving programmes.
  • Support the IPF to operate in line with charity regulation and best practice by working with the IPF Director ensuring that IPF governance policies are appropriate and up to date and that compliance is maintained.
  • Work with colleagues to ensure the Foundation complies with and adheres to data protection, health and safety and other workplace legislation.
  • Support the RFU Finance team with end of year audit.
  • Act as the primary point of contact for the charity with beneficiaries and stakeholders.
  • Provide secretarial support to the meetings of the Trustee Board, sub-committees, and staff; arranging meetings, prepare agendas, take and process minutes, and supporting the preparation of reports as required.
  • Provide support to the IPF Team; make hotel and travel bookings and assist in the production of presentations.
  • Provide support to RFU Fundraising Team in the planning and delivery of fundraising activities and events for the charity.
  • Provide support to other members of team when required.
  • Actively collaborate with colleagues to contribute to the development and delivery of the current strategic, business and operational plans.
  • Act as an ambassador for, and promote the best interests of the RFU, including the promotion of our culture and core values - This Rose Means Everyone: Put The Team First, Shape The Future, Respect Each Other.
  • Undertake other duties as may be required from time to time as are consistent with the responsibilities of the post and the needs of the organisation.

Qualifications, Skills & Experience:

Essential:
  • Experienced in providing charity administrative support in a dynamic and demanding environment.
  • Excellent customer service to both internal and external customers.
  • Meetings administration and minute taking skills.
  • Ability to use initiative and make effective decisions.
  • High level of ability in the use of Microsoft Office suite of programmes.
  • Knowledge and experience of charity processes, regulations and operations.
  • Demonstrate an organised, calm manner with appreciation of the issues that individuals with disabling injuries face and ability to engage and empathise with them.
  • Must be "customer service" driven, with an understanding of "customer/member" requirements and orientation towards service of others.
  • Demonstrate accuracy and attention to detail and possess good administrative skills including arranging, attending, supporting and recording meetings.
  • Must be able to communicate effectively with employees/guests from all parts of the charity, RFU and third-party contacts, using positive working relationships, and be able to present a high professional image when representing the company.
  • Will be an effective listener, able to show empathy with the views of others.
  • Empathy with the Foundation's aims, values and objectives.
  • Proactive approach to positively improving Inclusion & Diversity, addressing and challenging unconscious bias.
