Job description

Invigilator - Operational Support Assistant

Based in Registry Operations, you will provide operational support for University Examinations and administrative support to Registry staff, engaging in a range of routine tasks to meet operational and customer service requirements. You will offer guidance on examination processes to ensure students are supported and receive excellent service.

This role involves supporting exam preparation and invigilation, delivering a customer-focused service aligned with the values and behaviors of Registry. It is physically demanding, requiring setting up venues with desk arrangements, collecting exam papers, supervising exams, and monitoring activity for long periods to support students.

Important: The exam is scheduled for 30/05/2025, 12:00 - 16:00 (approximate finish). Please confirm your availability for the full shift and your level of study in your application. A short covering letter explaining your interest and how your experience meets the essential criteria is required. PGR students are encouraged to apply. Master’s and Undergraduate students are not eligible, as they will also be undertaking examinations.

General Examination Responsibilities
  1. Review the examination paper before students arrive to familiarize yourself with the subject, instructions, and any unusual spelling.
  2. Maintain professionalism and impartiality at all times, avoiding sharing personal opinions or advice.
  3. Make clear examination announcements at the appropriate times.
  4. Adhere to examination regulations, reporting incidents such as noise disturbances, misconduct, student illness, toilet breaks, or complaints.
  5. Be understanding and flexible to the needs of students with disabilities, observing necessary boundaries.
General Duties
  1. Understand and apply confidentiality in all duties.
  2. Follow University policies on Health and Safety, Equality, and Diversity.
  3. Perform additional duties consistent with the role as needed.
Additional Information

Invigilators may be required to travel to various examination venues across Cardiff.

Person Specification
Essential Criteria
  1. NVQ 2 / GCSE level A-C or equivalent qualification.
  2. Experience working in an administrative or office environment, proficient in MS Office.
  3. Excellent communication, listening, and typing skills, with attention to detail.
  4. Ability to follow procedures and protocols.
  5. Independent working skills with professionalism and flexibility.
  6. Problem-solving abilities using initiative.
  7. Ability to relate to students, support diverse needs, and communicate effectively.
  8. Maintain professionalism and impartiality during exams.
  9. Experience in delivering customer-focused service.
  10. Physical ability to stand, walk, and carry papers during exams.
Desirable Criteria
  1. Knowledge of higher education examination processes.
  2. Experience in scribing, note-taking, or reading for exams.
  3. Experience working in higher education.
  4. First Aid certification (QA Level 3 Award).
  5. Fluency in Welsh, written and oral.
