Job Description

Job Purpose
To provide comprehensive administrative support to the branch, ensuring the smooth and efficient handling of client-related processes and internal operations. This is a non-regulated position focused on delivering high-quality service and support to Investment Managers (IMs) and clients.
Key Responsibilities

  • Deliver a full range of administrative services to support the team's daily operations.
  • Manage incoming and outgoing DX and Royal Mail correspondence, ensuring timely processing and accurate record-keeping via relevant spreadsheets.
  • Handle document management tasks including scanning, shredding, and photocopying.
  • Prepare and print documentation required by IMs for client meetings.
  • Assemble onboarding packs and documentation for prospective clients.
  • Follow established onboarding procedures for new and upgraded clients, ensuring all necessary documentation is complete and accurate for IMs to conduct reviews.
  • Maintain internal documentation for suitability reviews and coordinate timely distribution of KYC refresher requests to clients.
  • Ensure client valuations are produced and dispatched within regulatory timeframes.
  • Greet clients and visitors professionally, escort them to meeting rooms, and provide refreshments as needed.
  • Uphold personal compliance with all regulatory requirements and actively promote a culture of compliance within the branch.

Qualifications & Experience

  • Educated to degree level, with qualifications in Maths and English at Higher level (or equivalent).
  • Previous experience in a similar administrative or financial services environment is desirable but not essential.
