This role involves a wide range of operations, administrative and organisational functions, ensuring a strong relationship between investment manager and client.
Key Areas of Responsibility:
- Assisting in the provision of a full range of administrative services for the team.
- Processing outgoing/incoming DX and Royal Mail.
- Answering the telephone, transferring calls, taking messages, and recording telephone notes on client files.
- Completing dictation transcriptions.
- Scanning, shredding, and photocopying documentation when required.
- Preparing and providing IMs with requisite documents for meetings.
- Preparing meeting refreshments, including greeting clients upon arrival.
- Ensuring valuations are produced and dispatched to clients within regulatory timescales.
- Maintaining personal compliance with all regulatory issues and promoting a compliance culture throughout the department.
- Identifying ways to improve efficiencies.
- Assisting in opening and maintaining client accounts, including obtaining AML documentation.
- Keeping client information up to date and assisting in producing client suitability reports, which may involve direct communication with clients and intermediaries.
- Following the progress of new investments and addressing any problems or issues that arise.
- Liaising with the accounts department over cash movements and managing payments, including currency payments.
- Setting up, closing, and managing client files, ensuring all information is current and accurate.
- Ensuring adherence to compliance regulations.
- Following up on new client connections to ensure necessary forms are completed and processed.
- Managing occasional special projects, such as collecting Know Your Client (KYC) information.
- Assisting with probate valuations and sales.
- Depending on qualifications and experience: assisting with preparing client reports, providing input on recommendations for switches, implementing transactions (buys and sells), calculating CGT, and maintaining valuation history. Executing XO dealing as instructed.
- Responding to corporate actions and notifying clients accordingly.
- Preparing documentation for potential new clients for IMs.
- Providing IMs with MI to support client suitability processing.
Qualifications & Experience:
- Educated to GCSE level (or equivalent), including Maths and English; A-Levels preferred.
- For IP1, industry-recognized qualifications such as an Investment Operations Certificate are advantageous; for IP2, this is essential.
- Experience in a similar environment is preferable, along with a general understanding of the stock market and investment operations.

- Ability to work under pressure while maintaining high attention to detail and accuracy.
- Proactive problem-solving skills and initiative in task completion.
- Team player capable of supporting multiple Investment Managers and adapting to their working styles.
