Purpose of the role:

To provide direct administrative support to the Supply Chain Coordinator. The primary responsibility will be to assist in managing the delivery schedule, with a key focus on monitoring the department’s critical path and liaising with freight forwarders, suppliers, and Head Office departments.

Responsibilities:

  1. Supply Chain Tracking
  2. Daily interaction and management of freight forwarders ensuring continued focus on priorities
  3. Assist in maintaining the delivery schedule – Head Office deadlines and delivery dates
  4. Ensure that AX is correct and up to date with the 3rd-party logistics tracking system (shipment and DC dates)
  5. Monitor the weekly Supply Chain Report (critical path) and communicate any potential risks/delays
  6. Shipment Bookings
  7. Ensure the smooth movement of stock from the Far East and Europe over to the UK warehouse
  8. Chase suppliers for bookings
  9. Work with freight forwarder to address booking queries
  10. Liaise with Technical, Merchandising & Product teams to ensure timely approval of shipment bookings: variance requests, date queries, shipment samples review
  11. Check delivery paperwork and ensure suppliers provide bills of lading in a timely manner to avoid demurrage charges
  12. Liaise with Landed suppliers to ensure timely booking of deliveries into the warehouse
  13. Delivery
  14. Liaise with 3rd-party Warehouse Manager to plan weekly intake, manage changes, and work through peaks
  15. Maintain Crew schedules to ensure key dates are not missed. Flag up issues well in advance where potential late delivery/payment issues arise and involve relevant parties early on
  16. Research and document slipped deliveries and inform Head Office departments
  17. Check delivery paperwork, investigate, and report on discrepancies
  18. Understand Customs requirements for import and duty payment
  19. General
  20. Work closely with the team to ensure excellent logistical performance
  21. Support Logistics team when required, covering holidays
  22. Be influential in updating procedures within the team and with suppliers
  23. Support with loading and unloading vehicles from the Head Office warehouse when necessary
