Job description

Kin Immigration Network Pte Ltd is seeking a detail-oriented Immigration Specialist to join our growing team. In this role, you will primarily focus on managing the back-end documentation and administrative aspects of Singapore Permanent Residency (PR) and Citizenship applications. You will ensure that all application documents are accurate, complete, and compliant with the requirements set by the Immigration and Checkpoints Authority (ICA).

You will play a vital role in supporting the front-end consultants by ensuring that the documentation process is handled seamlessly, efficiently, and accurately. The ideal candidate is highly organized, proactive, and has a strong understanding of Singapore's immigration requirements, with a keen eye for detail.

Key Responsibilities:
  • Documentation Management: Review and prepare client documents required for PR and Citizenship applications, ensuring that all documents meet ICA’s requirements.
  • Data Entry and File Management: Accurately enter client information and update client records in the company’s CRM system. Organize, categorize, and file client documents in a systematic and secure manner.
  • Compliance and Quality Control: Ensure that all submitted documents comply with the latest immigration policies and procedures. Double-check all documents for completeness and accuracy.
  • Application Preparation: Collaborate with the front-end consultants to gather and compile all necessary documents for each client’s application. Help prepare and finalize the application packages for submission.
  • Coordination with External Agencies: Work with relevant authorities and agencies to ensure timely receipt and processing of client documents, such as notarized documents, translations, and official certificates.
  • Timely Updates: Monitor the status of applications and notify the relevant team members of any updates or actions required. Ensure all deadlines are met for timely submission.
  • Document Tracking: Track all incoming and outgoing documents to ensure nothing is missing or delayed, maintaining a detailed record of each application’s progress.
  • System Management: Ensure that all client documentation is uploaded, organized, and maintained securely in the CRM and document management system.
Job Requirements:
  • Qualifications:
    Diploma or equivalent qualification in any discipline
  • Experience:
    At least 1-2 years of experience in administrative or back-end roles (preferably related to immigration, legal documentation, or a similar field)
    Familiarity with Singapore PR and Citizenship application processes is highly preferred.
  • Skills:
    Strong attention to detail and organizational skills.
    Excellent document management skills, ensuring accuracy and compliance.
    Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM systems.
    Ability to manage multiple tasks and deadlines in a fast-paced environment.
    Strong written communication skills for drafting emails and preparing documentation.
  • Personal Attributes:
    Highly organized and meticulous, with a strong ability to prioritize tasks.
    Proactive and self-motivated, able to work independently and as part of a team.
    Strong sense of responsibility and confidentiality.
    Positive attitude and willingness to take ownership of tasks.
  • Languages:
