The ideal candidate will be an excellent communicator, highly organised, and a team player, able to collaborate effectively with colleagues at all levels of the organisation.

In this role, youll be key in ensuring that HR policies, procedures, and compliance requirements are consistently met, in line with UK employment laws, CQC regulations, and DMCs internal standards. Youll also have the opportunity to contribute to ad hoc projects that enhance HR operations and systems, making a real impact on our team and business.

As a key player in our HR team, you will be involved in every aspect of the employee lifecycle, from recruitment to onboarding, staff development, and compliance. Youll work closely with service managers and recruiters, collaborating across departments to ensure we attract, retain, and develop top talent. Youll be working with a fantastic, supportive team who are always willing to help and deeply committed to upholding our core values, particularly in delivering exceptional patient care. Key Responsibilities

Main Duties & Responsibilities

Core functions, but not limited to:

HR Compliance & Administration

  • Ensure pre-employment compliance and onboarding processes meet UK employment regulations and CQC requirements.

  • Conduct DBS checks, right-to-work verifications, and professional referencing for all new hires
  • Maintain secure employee records in Planday (HRMS) and Pinpoint (ATS & onboarding), ensuring all data is up to date and compliant.
  • Communicate regulatory changes and policy updates to employees, ensuring adherence to GDPR and employment law.

Onboarding & Record Management

  • Oversee the new starter process, ensuring all necessary documentation is completed and stored securely.
  • Manage Right to Work documentation and track renewals.
  • Work closely with the relevant individuals on visa sponsorships to ensure all necessary documentation is processed and compliant.
  • Monitor any learning contract agreements, ensuring compliance with terms and follow- up actions.
  • Process employee reference requests in compliance with GDPR regulations.
  • Ensure employee records align with audit and compliance standards, and support record-keeping for internal and external audits.

HR Operations & Reporting

  • Manage the HR inbox, addressing employee queries and escalating where necessary.
  • Generate monthly compliance reports, tracking documentation status and any gaps.
  • Assist in HR reporting, audits, and data analysis to monitor compliance and operational efficiency.
  • Support the implementation of HR processes to streamline operations and improve efficiency.

Regulatory Compliance & CQC Standards

  • Ensure CQC compliance by supporting audit preparations and updating required documentation.
  • Collaborate with internal teams to align policies and procedures with industry best practices and regulatory standards.

Process Improvement & Systems Support

  • Assist in adhoc HR projects to improve HR systems & processes and overall operational efficiency.
  • Support the effective use and optimisation of Planday (HRMS) and Pinpoint (ATS & onboarding system), and other similar systems to enhance current HR operations.
  • Collaborate with stakeholders to streamline onboarding, improve compliance tracking, and enhance HR reporting.

Skills, Knowledge & Expertise

Essential

  • CIPD Level 3 or equivalent qualification, or experience in HR/compliance roles, ideally in healthcare.
  • Proven experience with HR systems (e.g., Planday, Pinpoint) for onboarding and compliance tracking.
  • Strong knowledge of UK employment law, CQC regulations, GDPR, and HR compliance processes.
  • Experience in conducting pre-employment checks (DBS, right-to-work, professional referencing).
  • Excellent attention to detail, organisational skills, and ability to manage multiple tasks.
  • Strong communication skills and ability to work collaboratively with line managers and HR teams.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).

Desirable

  • CIPD Level 5 or higher, with healthcare-specific compliance experience.
  • Experience with visa sponsorship and managing learning contract agreements.
  • Familiarity with HR reporting dashboards and data analysis.
  • Experience in conducting internal audits and managing compliance reviews.
  • Knowledge of NHS compliance standards or similar healthcare frameworks.

Personal Development

  • Open to training in HR technologies, particularly in the use of Planday and Pinpoint to enhance operational efficiency.
  • Opportunities for involvement in projects aimed at improving HR processes and compliance practices.
