Job description

Allan Webb Ltd is a leading provider of Supportability Services to UK MoD and Industry, delivering engineering, training, and P3M services.

We are seeking an HR Administrator within the People Team.

Responsibilities
  1. Provide HR administration support to the People Team.
  2. Answer incoming calls and handle inquiries.
  3. Send out joining forms and invitations to induction.
  4. Manage pre-induction administration tasks.
  5. Enrol new starters on mandatory induction training.
  6. Transfer new starters from ATS to PeopleHR system.
  7. Monitor receipt and storage of induction documents.
  8. Update training and induction records on PHR and HR Tracker for new starters.
  9. Enrol employees on additional courses, update email addresses as needed.
  10. Enrol employees on Perkbox.
  11. Send welcome emails to new starters and distribute H&S forms.
  12. Share new starter information with communications team.
  13. Prepare notifications for new employees and induction checklist forms.
  14. Arrange and prepare meeting rooms.
  15. Coordinate parcel collection and delivery.
  16. Order buffet lunches as required.
  17. Manage stationary and supplies for the office.
  18. Issue eye test vouchers.
  19. Administer Brilliance awards program.
  20. Ensure mandatory training is up-to-date and recorded.
  21. Record training results on PHR.
  22. Monitor and audit induction checklist forms and probationary reviews.
  23. Send leaver's forms and coordinate exit interviews with RS, liaise regarding IT equipment.
  24. Coordinate with LM to disable leaver accounts.
  25. Collect leaver's forms on their last day or upon return of IT equipment.
  26. Unenroll leavers from Perkbox, TalentLMS, Nimble.
  27. Liaise with IT and send leaver's checklist to complete their part.
  28. Ensure leaver's documents are received and stored.
  29. Contribute to continuous improvement and excellence in HR processes.
  30. Support wider HR projects.

  • At least 2 years of HR Administration experience.
  • Excellent communication skills.
  • Ability to influence others effectively.
  • Strong relationship-building skills and credibility.
  • Ability to prioritize and manage a varied workload.
  • Self-motivated with a proactive approach.
  • Strong problem-solving skills.
  • Experience with HR software and tools.
  • Ability to analyze data, including statistical information.
